About the Magic City Books
Magic City Books is an independent bookstore owned by the Tulsa Literary Coalition, a 501(c)(3) nonprofit corporation. We specialize in literary and popular fiction and narrative nonfiction for adults. We also offer carefully curated sections for children and teens. Magic City Books hosts book clubs as well as author and community events throughout the year, partnering with other local organizations to expand our reach.
Essential Duties and Responsibilities:
- All MCB employees are expected to provide excellent customer service, process sales transactions on the floor and inform customers about events, programs, and services.
- Maintain knowledge of current and future inventory by reading widely, reading book reviews, reviewing catalogs, meeting with publisher representatives, and staying current with industry news.
- Research and keep abreast of customer purchase, wants and needs, best sellers, staff recommendations, and new authors.
- Purchase inventory from vendors. Monitor inventory levels to ensure availability of products. Assist with inventory counts. Ensure optimum availability and placement of products.
- Oversee bulk order and special-order programs.
- Review and be knowledgeable of all PO terms and conditions and monitor and limit risks to the organization.
- Develop relationships with vendors to enhance availability of supply. Negotiate cost-effective pricing and discounts with key suppliers.
- Establish standardized buying procedures and train staff required to execute.
- Assist authors and other program providers. Field questions from authors and review applications for inventory placement.
- Work with manager to gauge monthly and/or weekly book sale targets.
- Oversee receiving, shipping, and returns.
- Place claims for damaged or missing inventory and communicate with receiving team and store manager.
- Monitor timing and ensure return of books and merchandise not moving/purchased.
- Monitor organizations Point of Sale (POS) system to ensure inventory, Purchase Order, and Special Order lists are accurate and current.
- Conduct appropriate data analysis related to inventory.
- Troubleshoot any acute or recurring challenges related to store inventory and make recommendations for system improvements.
- As a member of the leadership team, assist in training and serve as the manager on duty in the absence of the Store Manager.
- Prepare for and engage in weekly leadership meetings and quarterly staff meetings. Assist in presentations during staff meetings.
- Follow all procedures and deadlines of the organization.
- Other related duties as required.
Schedule Requirements:
- Flexible availability with nights and weekends availability required.
- 16 hours of bookstore floor shift/week
- Required weekly Leadership meetings
- Required quarterly All Staff meetings
Physical Requirements:
All positions at MCB require constant physical activity, including standing, walking, reaching and grasping. All employees are expected to climb ladders, bend and kneel to obtain products for customers and to maintain the visual appearance of the store. Employees should be able to lift up to 50 lbs.
Qualifications & Education:
- Frontline customer service experience, required;
- Experience bookstore or library experience, required;
- Experience supervising others, preferred;
- Prior retail and POS experience, required;
- Able to work independently and within a team environment;
- Excellent interpersonal and organizational skills;
- Able to multi-task and prioritize tasks;
- Strong emphasis on accuracy and detail;
- Excellent computer skills including Microsoft Office Suite, Adobe, Canva, and social media platforms.
