What are the responsibilities and job description for the Executive Assistant, Development and Strategic Initiatives position at Tunnel To Towers Foundation?
The mission of the Tunnel to Towers Foundation is to honor the sacrifice of firefighter Stephen Siller who laid down his life to save others on September 11, 2001. We also honor our military and first responders who continue to make the supreme sacrifice of life and limb for our country.
Duties and responsibilities
- Meticulous coordination of Executive Vice President, Development and Strategic Initiatives, and team commitments, including high-level meetings, strategic initiatives, and donor engagements.
- Co-lead, with the Senior Executive Assistant and Executive Vice President, Development and Strategic Initiatives, the development of department processes related to budgeting, donor and stakeholder meeting preparations, training schedules, the coordination and logistics of large strategy donor programs & events.
- Key contributor to department operational efficiency efforts.
- Advanced organizational, communication, and planning skills, with a focus on supporting the complex scheduling, departmental budget tracking, and stakeholder engagement initiatives led by the Senior Executive Assistant, team, and Executive Vice President, Development and Strategic Initiatives.
- Act as a backup to the Senior Executive Assistant, and ensuring that the Executive Vice President, Development and Strategic Initiatives' time is optimized for strategic priorities with proactive follow-up and preparation.
- Primary office manager for the development team.
- Manage notes and follow-up actions for senior staff meetings, ensuring accountability and timely execution and completion of tasks and initiatives.
- Update v-cards and Executive Vice President, Development and Strategic Initiatives contact information (to include stakeholder management plan).
Qualifications
- 10 years of experience in a high-profile executive support role within dynamic, fast-paced environments.
- College degree is preferred, and veterans are highly encouraged.
- Excellent organizational skills, with a keen ability to prioritize diverse tasks and manage multiple projects simultaneously.
- Strong leadership and management skills
- Excellent communication skills.
- Detail oriented.
- Ability to work independently.
- Proficient at managing time and resources.
- Critical thinking and problem-solving skills.
- Ability to multitask multiple projects and supervise personnel.
- Proficient in Microsoft 360 products, Google Suite, Excel, and PowerPoint, coupled with a demonstrated ability to leverage technology to enhance executive productivity.
Working conditions
Special working conditions may include: a change in days worked, shift hours, and/or working conditions (outdoors or other locations) when participating and assisting in special events such as: NYC Tunnel to Towers 5K Run & Walk, golf outings, and other fundraising events, as required.
Job Type: Full-time
Pay: $70,000.00 - $80,000.00 per year
