Position Title: Administrative/Operations Assistant
Agency: Fleet Operations
Supervisor: Fleet Operations Manager
Salary Classification: TMTC/TMHA Non-exempt (N), Hourly

Position Summary:
Under the direct supervision of the Fleet Operations Manager, the Administrative Assistant will provide all necessary administrative and clerical support services to the Fleet Operations department. The Administrative Assistant will maintain and update files and perform a wide range of administrative duties.
Duties and Responsibilities:
- Perform all administrative duties for Fleet Operations, including but not limited to correspondence, purchasing, scheduling, validating/acquiring vehicle tags, certification tracking, etc.
- Assist in establishing and maintaining a system for tracking purchases, inspections, maintenance, and registration renewals for all vehicles and heavy equipment.
- Provide general support and assistance with bookkeeping and accounting needs as required, to include data entry of receipts and maintaining accounting records.
- Assist in the development and monitoring of preventative maintenance programs.
- Maintain departmental calendar and schedules on an ongoing basis.
- Assist in conducting research and data collection from internal and external sources in support of departmental projects.
- Establish and maintain a positive, professional, and cooperative working relationship and communicate effectively and professionally with others in the course of work at all levels, to include Tribal members, residents on the Rancheria, internal staff, co-workers, and the public.
- Provide operational support in the field as needed for items such as taking inventory, delivering documents, inspecting tags, etc.
- Perform other related duties as required.
Qualifications
Qualifications:
- Must possess high school diploma or equivalent.
- Experience preferred with background knowledge of heavy equipment and administrative work.
- Good working knowledge of computers and Microsoft products like Word, Excel, Publisher, and other common programs.
- Organized, self-motivated and able to perform tasks independently or with minimal supervision.
- Excellent verbal and written communication skills.
- Maintain the highest level of confidentiality.
- Ability to lift objects up to 50 pounds occasionally.
- Establish and maintain professional relationships with outside agencies like DOT, OSHA, DMV, etc.
- Be willing and able to obtain additional training as needed.
- Must possess a valid California driver’s license and comply with the Tribe’s driving policy and insurance requirements.

Physical Requirements:
This position is deemed a level 4 and requires walking, standing, and sitting for prolonged periods of time: climbing stairs, stooping, kneeling, crouching and reaching: pushing, pulling and lifting up to 50 pounds; raising objects overhead; manual dexterity for operation of computer, phones and small office machines; hearing, talking, and good verbal and written communication skills; repetitive motion of the wrists, hands and fingers.

Preference in filling vacancies shall be given to qualified Tuolumne Me-Wuk Community. Council members and then to enrolled Native Americans of any federally recognized tribe.
