Job Summary: The Rebates Coordinator for the Medical Supply Division will manage and oversee all aspects of rebate programs. This role is essential for ensuring the timely and accurate processing of rebates, compliance with contractual agreements, and effective collaboration with vendors, manufacturers, and internal teams to maximize rebate opportunities and improve operational efficiency.
Key Responsibilities
Rebate Program Administration:
- Manage all rebate agreements, ensuring timely submissions and payments.
- Track, reconcile, and process rebate claims with vendors and manufacturers.
- Maintain detailed and organized records of all rebate-related activities.
Compliance and Accuracy:
- Ensure all rebate programs comply with contractual terms, industry standards, and company policies.
- Conduct audits of rebate data to identify and resolve discrepancies.
- Provide accurate and timely rebate reports to management for review.
Vendor and Manufacturer Relations:
- Serve as the primary liaison for rebate-related communication with vendors and manufacturers.
- Develop and maintain strong working relationships with external partners to streamline rebate processes.
- Address and resolve rebate disputes or delays effectively.
Data Analysis and Optimization:
- Analyze rebate data to identify trends, maximize opportunities, and improve processes.
- Work with the procurement and sales teams to forecast rebate revenues and align with company goals.
- Provide insights and recommendations to enhance rebate program performance.
Internal Collaboration:
- Collaborate with sales, finance, and procurement teams to ensure rebate programs align with organizational objectives.
- Support the finance team in reconciling rebate payments and resolving discrepancies.
- Coordinate with the supply chain team to ensure accurate tracking of product usage data for rebate claims.
Qualifications
Preferred Qualifications & Skills
- Bachelor’s degree in Business Administration, Finance, Accounting, or a related field preferred (High School Diploma with equivalent experience considered).
- 2 years of experience in rebate coordination, finance, or accounting, preferably in the medical supply or healthcare industry.
- Strong analytical skills with a high level of attention to detail.
- Proficiency in Microsoft Office Suite, particularly Excel (e.g., pivot tables, v-lookups).
- Experience with rebate management systems or ERP platforms is a plus.
- Excellent communication and interpersonal skills for collaboration with internal and external stakeholders.
- Ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.
Working Conditions
- Works in office area(s), warehouse, pharmacy, and some positions work in a long-term care environment (i.e. nursing home, drug rooms, nurses’ stations, resident rooms, etc.).
- Moves intermittently during working hours.
- Is subject to frequent interruptions.
- Is involved with customers, and customer representatives, family members, residents, personnel, visitors, government agencies/personnel, etc., under all conditions and circumstances.
- Is subject to hostile and emotionally upset residents, family members, personnel, and visitors.
- Communicate with the designated facility staff, nursing personnel, residents, or family members.
- Works beyond normal working hours and on weekends and holidays when necessary.
- Is subject to call back during emergency conditions (e.g., severe weather, evacuation, post-disaster, etc.).
- Is involved in community/civic health matters/projects as appropriate.
- Attends and participates in continuing educational programs.
- Is subject to injury from falls, burns from equipment, odors, etc., throughout the workday, as well as reactions from dust, disinfectants, tobacco smoke, and other air contaminants.
- Is subject to exposure to infectious waste, diseases, conditions, etc., including TB and the AIDS, COVID-19, and Hepatitis B viruses.
- May be subject to the handling of and exposure to hazardous chemicals.
Education
Must possess and maintain any and all necessary active and unencumbered certifications, degrees, or licenses in the necessary state, to the extent the position requires such certifications, degrees, or licenses.
