Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to join our team. An administrative contractor assistant primarily provides clerical and organizational support to a contracting department, handling tasks like managing contract documents, tracking project timelines, preparing invoices, coordinating with vendors and subcontractors, maintaining filing systems, and assisting with overall contract administration, often within a construction or project management setting; essentially acting as the administrative backbone for the contracting team by ensuring smooth operation and accurate record-keeping.
Responsibilities
- Creating and maintaining contract files, including digital and physical copies.
- Preparing and distributing contract documents like change orders, purchase orders, and service agreements.
- Tracking contract status, deadlines, and milestones.
- Managing contract amendments and revisions.
- Answering phone calls and emails, directing inquiries to appropriate parties.
- Scheduling meetings and appointments with clients, contractors, and internal stakeholders.
- Preparing reports and presentations related to contract performance.
- Maintaining filing systems and databases.
- Data entry and record keeping
- Administrative assistant experience in a construction, engineering, or project management setting
