What are the responsibilities and job description for the Receptionist/Administrative Assistant position at TURN AROUND COMMUNICATIONS, INC?
The Receptionist/Administrative Assistant provides general office support with a variety of clerical and administrative activities and related tasks. The Receptionist/Admin Assistant will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.
RESPONSIBILITIES
- Answers telephones and directs the caller to the appropriate associate, transfers incoming calls and take messages.
- Ensures the highest level of customer service to all guests, employees, and vendors
- Greets and directs visitors to the company.
- Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
- Receives, opens and logs incoming mail, distributes mail to all departments, answers correspondence, and prepares outgoing mail.
- Assists with receipts, bills, policies, invoices, statements and checks.
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
- Assists in the ordering, receiving, stocking and distribution of office supplies.
- Assists with other clerical duties such as data entry, photocopying, faxing and filing.
- Maintains department and management directories.
- Supervises the maintenance of office equipment, including copier, fax machine, etc.
- Participates as needed in special department projects.
- Performs other duties as assigned by the Accounting Department.
QUALIFICATIONS:
- High School Diploma
- Experienced and proficient with MS Office Suite
- Strong organizational skills
- Ability to multitask
PREFERRED SKILLS:
- Experience with QuickBooks/Sage 100 or any Accounting Software
- Bilingual – English and Spanish
- Valid Driver’s License
- Some knowledge of the Cable or Construction industries
