We are seeking an Expense Specialist to join our dynamic team. The specialist will primarily be responsible for auditing and processing expense reports, handling internal feeds, and managing department assignments as needed. This role will work closely with partners, employees, and multiple internal teams to ensure accurate expense management and compliance with firm policies and tax guidelines. The position is based in our White Plains office with a hybrid work arrangement.
Key Responsibilities:
- Review employee and partner expense reports, ensuring accurate coding for client matters and disbursement codes.
- Verify that all expenditures are compliant with firm guidelines and relevant tax regulations, ensuring supporting documentation is included.
- Communicate with individuals submitting expense reports, providing clarification and adjusting reports as necessary.
- Make notations and append imaged documents as required.
- Process weekly check and ACH payments, and handle the distribution of payments.
- Review and reconcile files received from internal and external sources, correcting any discrepancies or rejected transactions.
- Prepare and post client disbursement batches from domestic and international offices.
- Adjust time entries upon request.
- Manage special projects and non-routine assignments as required.
- Ensure adherence to firm operations, policies, and procedures, while managing firm resources responsibly.
Qualifications:
- Proficiency with relevant software such as Chrome River, Aderant, Outlook, Excel, and PowerPoint.
- Solid understanding of bookkeeping principles.
- Excellent written and verbal communication skills.
- Attention to detail with the ability to handle multiple tasks and shifting priorities.
- Ability to maintain confidentiality, handle sensitive matters, and work independently or in a team environment.
- Flexibility in hours to meet business needs in a fast-paced work environment.
Experience & Education:
- High School Diploma or equivalent with at least two years of relevant experience.
- Associate's degree with at least one year of related experience preferred.

Pay: $60,000.00 - $70,000.00 per year
