Job Title: Case Manager
Job Summary:
The Case Manager will be responsible for managing a portfolio of cases, coordinating with attorneys and clients, and ensuring that all case-related activities are handled efficiently and effectively. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Duties/Responsibilities:
- Serve as the client’s primary point of contact.
- Maintain regular communication with clients, providing updates every 30 days and setting realistic expectations of the case timeline.
- Use the case management system properly and efficiently.
- Gather and verify key client details.
- Collect details on the client’s personal and health insurance, including Medicare or Medicaid, and explain the relevance of this information for their case.
- Verify client injuries and medical treatment; assist in setting up additional treatment if needed.
- Liaise with medical providers such as Tri-Med and independent doctors to coordinate treatment plans.
- Order and track medical records, bills, and other case-related documents.
- Add relevant information to case management systems, update case statuses, and open appropriate checklist items.
- Ensure all pertinent medical and billing records are ordered once liability is confirmed.
- Manage case expenses, including attorney fees, treatment facility costs, and lost wages documentation.
- Track reductions on bills and negotiate with providers for cost reductions on the client’s behalf.
- Prepare and package demand letters, settlement brochures, and supporting documents for attorney review and submission to insurance companies.
- Follow up with attorneys and insurance adjusters on the status of demands and settlement offers.
- Manage the disbursement of settlement funds, ensuring legal obligations are met, including lien payments and reductions.
- Coordinate the settlement disbursement process, including the drafting of disbursement sheets and liaising with clients on payment methods.
- Ensure all necessary checks are prepared, distributed to clients and providers, and scanned for record-keeping.
- Once the file is ready to be closed, ensure that the file is sent to your supervisor to close out with all pertinent documents saved in the case management system.
- Perform other administrative tasks and special projects as assigned.
