JOB SUMMARY
The Supervising Accountant works under the guidance of the Director of Finance and assists in the direction of the accounting functions and in preparing the reporting financial statements conforming to principles of accounting and regulatory requirements.
ESSENTIAL JOB RESPONSIBILITIES
- The Supervising Accountant is responsible for the supervision and management of the accounting staff in the fiscal department.
- Assists the Director of Finance in leading, managing, monitoring, and delegating accounting functions.
- Assists in ensuring timeliness and accuracy of the finance statements and processes.
- Analyzes financial data, interprets results, prepares summary reports, and oversees their evaluation.
- Presents various accounting reports and data summary analyses to top management and makes presentations of findings to include suitable observations and recommendations.
- Manages operational financial data and maintains data accuracy and integrity.
- Assists the Director of Finance with preventing inaccuracies in financial statements by reviewing and maintaining internal control systems and adopting proper processes for financial reporting.
- Reviews financial data regularly to ensure fairness and completeness of the data.
- Maintains system controls and conducts periodic reviews to ensure data integrity making recommendations for improvement as needed.
- Develop proper operational, data documentation, and troubleshooting procedures.
- Acts as the liaison with accounting software, system vendors, and consultants.
- Conducts analysis and review of account reconciliations and maximizes the utilization of financial reconciliation software.
- Supports program bookkeeping staff with QuickBooks training, petty cash management, and bank reconciliation procedures.
- Assists in the Company's monthly and annual closing as well as the timely submission of weekly accounts payable payment processing.
- Leverage both cost accounting and investigative skills to properly allocate costs and determine appropriate allocation methods.
- Conduct, analyze, review, and summarize agency monthly allocation of costs ensuring accuracy and inclusion of appropriate programs.
- Completes assigned special projects and analysis as required.
- Assists in managing hardware and software applications of the financial systems.
- Conducts financial analysis and ad-hoc requests for all programs.
- Determines and tracks financial status by comparing and analyzing plans and forecasts with actual results.
- Assists in the development of new capabilities and procedures for process improvement in the fiscal department.
- Review and maintain familiarity with individual contract requirements and accounts payable billing disallowances.
- Will evaluate accounting staff performance and will provide relevant training, coaching, and disciplinary actions as required.
- Prepares necessary work as directed to satisfy external auditors.
- Involved in the preparation and consideration of both the annual agency budget and grant budgets.
- Assists in both internal and external audit coordination.
- Ensure direct report staff follow the agency's timecard, PTO (Paid Time Off), and California's rest and meal period policies. Will monitor staff timesheets to ensure they are completed accurately.
- Employees are expected to manage their cell phone use so that the agency cell phone stipend covers all business usage. Any calls not covered by the stipend are to be made on a company landline phone.
- Will drive on agency business.
- Physical presence at the office is required.
ESSENTIAL JOB REQUIREMENTS
- Bachelor's degree in accounting, finance, business administration, or related field.
- Seven plus years accounting, payroll and analysis experience.
- Good judgment, planning skills and leadership traits.
- Advanced computer skills in MS Excel to include complex formulations, calculations, pivot tables, flow charts, table summaries, etc. as well as the ability to maintain thorough knowledge of and familiarity with various accounting software and databases, adapting to and implementing changes and updates quickly and proficiently.
- Ability to work independently and be a self-starter.
- Attention to detail and ability to deliver timely and accurate results in a fast-paced and dynamic environment.
- Good communication and "people" skills, with ability to diplomatically resolve conflict.
- Superior analytical abilities, team working capabilities, and result oriented nature.
- Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
- Ability to pass a pre-employment drug screen.
- Ability to pass a criminal background check.
