What does an Occupancy Specialist do?
- You will conduct intakes on rental housing applications, pre-screens and ensure that all necessary paperwork regarding the application process is submitted and verified.
- Maintain up-to-date waiting lists for rental housing program applicants and contact applicants annually to update or remove from waiting list. Maintain and update family composition and tenant list on an ongoing basis.
- Review all housing related forms periodically to ensure accuracy and completeness and recommend changes as necessary.
- Enter relevant data to tenant files. Schedule and conduct interim and annual tenant recertification. Maintain hard copy tenant files and ensures all verification forms and required signatures are properly submitted.
- Notify selected tenants of applicable charges, deposits and utility verification forms and provide them with a brief explanation of what is required prior to move-in.
- Submits monthly reports regarding occupancy to the Manager of Rental Housing as applicable.
- Send notices for lease violations, filing of complaints and preparation of landlord/tenant actions. Maintains a list of terminated tenants and forwarding addresses if available.
- Maintain confidentiality of accounts and files in accordance with adopted policy and laws.
To be successful as an Occupancy Specialist, you'll need:
- An Associate’s Degree in Business Management, Public administration or related field preferred. Certification in occupancy or resident services combined with three to five years' experience in these fields or comparable related fields preferred.
- Knowledge of office procedures and methods; bookkeeping and finance.
- The ability to read, interpret and apply government regulations, handbooks and Nation Rental Program policies and procedures.
- To operate office machines, including but not limited to computer, fax, copier, and calculator.
- The ability to work harmoniously with co-workers and with the public.
- Must possess a valid New York State driver’s license.
- Working knowledge of office software programs i.e. Word Processing, Data Base Management.
- Ability to stand/walk for long periods of time and lift up to 0 - 10 pounds.
