The Intake Coordinator is responsible for the overall operation of Montana Psychiatry outpatient program including the following: fiscal management, clinical duties, census development, referral management, program supervision, program operations, new patient orientation, and any other duties requested by leadership team. The patient care coordinator will assist with new patient intakes, fielding questions from patients and family members, coordinating schedules, and keeping the office organized.
Requirements:Job Responsibilities/Duties:
- Efficient management of the intake process, documenting incoming referrals and collaborative communication with referral sources and marketing team
- The coordinator supervises daily billing of group activities, ensures medical records are satisfactory.
- The coordinator reports directly to Clinic administrator/program director.
- Perform other job duties as assigned.
- Serves as the primary conduit between TMS patients, Montana Psychiatry staff, and TMS clinical providers and researchers.
- Ensures all clinical information is available to support the procedures.
- Answers any questions the patient may have and triages questions to the patient care team as appropriate.
- Obtains the necessary information to properly triage new patient referrals and coordinates evaluation appointments with the psychiatrist.
- Schedules any follow-up ambulatory appointments required and helps coordinate urgent add-on procedures.
- Patient follow-up Coordination:
- Working collaboratively with the TMS technician to respond to patient's questions and concerns, particularly for patients needing coordination of testing and appointments. Seeks direction from the treating TMS provider as indicated.
- Supports the organization and distribution of patient care correspondences, faxes, forms, and other pertinent clinical requests.
- Patient Scheduling and Clinical Messaging.
- Coordinate and assist patients with insurance requirements such as prior authorizations to support treatment coverage and proper reimbursement for care. Coordinates the clinical and procedural care related to the TMS program to support effective and efficient patient care.
Location: Billings
Schedule: Monday through Friday.
