Disbursements Accountant
SUMMARY
Under the supervision of the Chief Financial Officer, the Disbursements Accountant is responsible for all cash disbursements including managing the Accounts Payable, Inventory, Fixed Assets and Credit Card GL accounts. The Disbursements Accountant will help coordinate accounting projects and initiatives along with other members of the finance team. This is a full-time, temporary position, expected to last for approximately two to three months.
ESSENTIAL JOB FUNCTIONS
- Provide accounting and budget assistance to managers and respond to financial questions to ensure all required documents are obtained before disbursements are made.
- Verify departmental budgets to assure funds are available for purchases before checks are issued.
- Review check requests for correct account coding and enter invoices into the Financial Edge system.
- Select invoices to be paid and create reconciliation worksheets for internal review.
- Ensure all invoices, credit cards and other monthly recurring expenses are paid accurately and on-time.
- Complete and process credit applications.
- Maintain W9 vendor information.
- Maintain an accurate tracking system for exhibition contracts including deposits, schedule of installments payments and certificates of insurance.
- Post and reconcile inventory accounts to the GL.
- Work with the retail manager to ensure annual inventory counts are completed and reconciled timely and accurately for proper general ledger reporting.
- Maintain and reconcile Fixed Asset sub-ledger records and accounts.
- Calculate and post depreciation for all fixed assets.
- Prepare monthly account reconciliations for Accounts Payable, Prepaid Expenses, Deposits and other GL accounts as assigned.
- Assist with financial audits and other outside reporting.
- Maintain strict confidentiality requirements for organization and staff information.
- Open mail and record all checks in the daily cash log.
- Post outgoing mail and allocate monthly postage expenses
- Other duties as assigned.
SECONDARY JOB FUNCTIONS
- Participate in the Finance department’s cross-training and assist the team as backup as needed.
- Assist in covering the reception area, including greeting visitors and accepting deliveries.
Qualifications
EDUCATION AND EXPERIENCE
- Associate’s degree in accounting/finance or related discipline preferred
- 3 to 5 years accounting/finance experience
- Non-profit experience desired
KNOWLEDGE, SKILLS AND ABILITIES
- Must be detail oriented, well organized and able to set priorities and execute multiple tasks within deadlines.
- Excellent analytical, research and problem-solving skills.
- Ability to work with direct supervision or independently in a fast-paced environment.
- Ability to work with or interact with staff, board members, volunteers, guests and vendors.
- Excellent communication and interpersonal skills with a customer service focus.
- Knowledge of accounting and MS Office software is required. Financial Edge preferred.
