What are the responsibilities and job description for the Volunteer Coordinator position at Twin Lakes Food Bank?
The Volunteer Coordinator is responsible for recruiting, training, retaining, and managing 60=80 volunteers to ensure the smooth and efficient operation of the food bank. This individual will collaborate closely with the staff and volunteers to support all programs, special events and projects, and fundraising events. The volunteer coordinator will also be responsible for maintaining current and accurate required volunteer documents as well as tracking volunteer hours. The volunteer coordinator leads volunteer appreciation opportunities, including an annual appreciation event. This position reports to the Executive Director. Key responsibilities include the following:
Volunteer Assessment & Placement
· Ensure the website volunteer online application process is efficient and user-friendly by collaborating with Communications Coordinator,
· Interview volunteer candidates,
· Make informed decisions on volunteer placements.
Training & Onboarding
· Schedule, organize and lead volunteer orientations,
· Collect all signed forms necessary for volunteering, including liability release forms, Civil Right training, and online consent of Volunteer Terms & Conditions,
· Onboard new volunteers.
Communication & Coordination
· Attend weekly staff meeting,
· Maintain regular communication with staff regarding volunteer arrivals, duties, and any relevant updates,
· Clearly communicate to volunteer candidates the mission and vision as well as expectations and boundaries (as outlined in the Volunteer Terms & Conditions),
· Work with Communications Coordinator on any volunteer communications on website or other external communications.
Administration & Reporting
· Manage volunteer schedules in CERVIS, the volunteer management software tool,
· Make sure volunteers are signing in and out either on designated iPad in the bagging room or using the mobile link provided in their confirmation email that is sent to them when they sign up for a volunteer shift,
· Maintain volunteer contact information and work with Communications Coordinator to update volunteer audience on MailChimp, which is used for the monthly volunteer newsletters,
· Track volunteer hours in CERVIS and generate a monthly report for the staff,
· Assist Executive Director with volunteers for special projects as needed.
Event & Team Management
· Organize an annual volunteer appreciation event,
· Build, manage, and nurture the daily volunteer teams, focusing on relationship-building, engagement, and feedback.
General Duties
· Spend time at Twin Lakes Food Bank, integrating with the staff, volunteers, and guests to understand their needs and improve the overall experience for everyone involved,
· Focus on volunteer engagement: provide feedback, ensure they feel appreciated, and address concerns to maintain volunteer retention,
· Maintain privacy/confidentiality of TLFB guests and volunteers,
· Maintain professional boundaries in all internal and external communications.
Candidate Requirements
· Excellent interpersonal and communications skills,
· Ability to motivate and engage volunteers; volunteer coordinator leads circle time before the grocery distribution opens each morning to make any important announcements to the volunteers and encourage them through Bible scriptures or inspirational quotes,
· Strong organizational skills, including scheduling and time management,
· Computer skills and proficiency in Microsoft Word and Excel; TLFB utilizes a volunteer management software platform called CERVIS, experience in CERVIS preferred.
Job Type: Part-time
Pay: $22.00 - $24.00 per hour
