Position Overview: Service Billing Administrator will manage all aspects of the service department billing sales transactions within our dealership. The Service Billing Administrator will collaborate closely with Service Departments, internal teams, and customers to ensure accuracy and efficiency in processing transactions. This role involves purchase order processing, customer billing, posting transactions in dealership system, reconciling accounts, applying technicians’ time to Work orders and maintaining compliance with month-end closing activities.
Key Responsibilities:
- Receive and create new Work Orders for multiple branches
- Accurately inputting customer information, service details, and pricing into the invoicing system.
- Verifying invoice accuracy against service records, ensuring proper pricing, and obtaining necessary approvals before sending invoices to customers.
- Addressing customer inquiries regarding invoices, explaining billing details, and resolving billing disputes.
· Accurately post all sale transactions in the dealership’s system.
· Verify the accuracy of postings through established reporting systems.
- Assist the mobile technicians with daily Work Orders and clock time
- Collaborate with internal departments to promptly resolve discrepancies and transaction delays.
- Reconcile accounts on a weekly and monthly basis to facilitate month-end closing.
- Ensure compliance with all weekly and month-end closing activities and deadlines.
- Perform additional duties as assigned based on the dealership’s operational needs.

Qualifications
- Strong analytical and research skills required to effectively perform job duties.
- Detail-oriented with exceptional time management skills.
- Proficiency in computer applications, including MS Office (particularly Excel), and experience with accounting software.
- Familiarity with Karmak or similar dealership accounting software is advantageous.
- Previous accounting experience preferred, particularly in an automotive or heavy-duty truck dealership setting.
- Solid understanding of basic math principles, familiarity with accounting and title processing procedures
Education and/or Experience
- College degree or minimum or 3-5 years of related experience in similar position, equivalent combinations of education and training may be considered.
Language skills
- Must have strong interpersonal communication skills.
- Must have a high degree of professionalism.
- Ability to deal sensitively with confidential material.
- Ability to communicate with various levels of management.
Job Type: Full-time
Pay: $18.00 - $24.00 per hour
