We are looking for an Office manager to organize and coordinate administration duties and office procedures. We are looking for an experienced office person looking for long term employment in our manufacturing environment. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office manager duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as a Front office manager or Office administrator would be an advantage. A successful Office manager should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation. We need someone who can make decisions and get things done for us. Someone who can take instructions and go with them to finish the task. The perfect candidate would have experience in an office environment and willing to learn new skills as needed. This person would follow current procedures, help produce new procedures as needed, and edit current procedures as required. We do a lot of different things here and it is important that they are done correctly and timely.

Responsibilities

  • Serve as the point person for office manager duties including: maintenance, mailing, supplies, equipment, bills, errands, shopping
  • Maintain the office condition
  • Update and maintain office policies and procedures as necessary
  • Organize office operations and procedures
  • Ensure that all items are invoiced and paid on time
  • Create Vendor purchase orders and communicate for schedueling
  • Manage contract, estimates, and price negotiations with vendors, and service providers
  • Provide general support to visitors
  • Assist in the onboarding process for new hires
  • Address employees queries regarding office management issues
  • Liaise with facility management vendors
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Ordering parts, hardware, tooling, and materials
  • Maintain a clean working environment in the front areas of the shop
  • Maintain product inventory and current pricing.
  • Facebook marketing as well as Mail Chimp newsletters.

Skills

  • Proven experience as an Office manager, Front office manager or Administrative assistant
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g. printers)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

We are a small company, with currently 5 people. Our candidate would ideally want to work about 25-30 hours a week but would consider full time. This could be flexible with either Monday, Wednesday, Friday 8-430. Or every day 9 -230 (including a 30 minute lunch). Would also consider Hybrid employment. Pay is, of course, depending on experience, 15-20 an hour. Must pass background check and drug screening.
