About You
The Event Coordinator will oversee attendee registration and continuing education credits for members, while also supporting meeting planners. This role includes coordinating event logistics, ensuring efficient registration processes, and assisting in the successful execution of events. This is a full-time, hybrid position, requiring selected candidate to live in the Austin area and ability to travel.
A Typical Day
- Event Logistics Support
- Oversee the registration process, including the setup of basic to intermediate registration configurations, tracking attendee information, and managing on-site registration.
- Coordinate volunteer assignments and communication.
- Assist with material delivery and distribution for events.
- Support event setup and teardown to ensure smooth operations.
- Post-Event Coordination
- Prepare post-event reports and summaries.
- Contribute to event evaluations and process improvements.
- Administrative Support
- Track contracts and manage vendor payments.
- Assist with general event administration tasks.
How You’ll Make an Impact
- Ensure a seamless attendee experience by managing registration, responding to inquiries, and tracking continuing education credits.
- Support event execution by coordinating logistics, assisting meeting planners, and maintaining accurate event details across platforms.
- Collaborate with internal teams and vendors to manage catering, audiovisual needs, and space reservations.
- Drive continuous event improvement by gathering and analyzing attendee feedback and preparing post-event reports.
- Manage travel and event-related expenses efficiently to maximize resources while maintaining quality experiences.
- Perform other duties as needed to support the success of meetings and events.
Skills For Success
Education and Experience:
- Bachelor’s degree or 2 years of experience in event coordination or similar role.
- Familiarity with event registration systems and venue coordination is a plus.
Knowledge, Skills, and Abilities:
- Ability to effectively communicate with the public, member districts, and their personnel, and TASB employees.
- Ability to act independently with little or no supervision.
- Proficient in Microsoft Office Suite applications, Teams, and skilled in data entry.
- Ability to travel within the State of Texas with occasional overnight and weekend travel.
- Willing to take accountability for your own work.
- Must be able to lift and move up to 20 pounds of miscellaneous materials.
- Excellent written and oral communication skills.
- Exceptional organizational skills.
