Position Summary:
The Admin. Shipping and Receiving Associate is responsible for preparing materials for outgoing shipments and receiving incoming shipments. Their duties include organizing inventory of materials orders come in, reviewing incoming, and outgoing shipment to maintain productive operations, and documenting damage to inventory. Must be able to perform efficiently in a warehouse and dispatch environment.
Responsibilities:
- Trouble shoot shipping issues and customer complaints that arise and work to solve them
- Pull manuals for outbound loads-check accessory bags for proper contents-check serial numbers against pull sheets and BOL’s to ensure dealer is getting correct serial numbers.
- Obtain and process product orders, including receiving deliveries, registering them, and distributing packages and letters within the company
- Check-in and put-up incoming stock order and returns; this includes air shipments and containers.
- Research delivery timeframes for backordered parts.
- Document engine serial numbers for Canadian loads and verify tractor/loader serial numbers
- Prepare damage reports on received units; take photos of damage and submit a written report to Quality. Document defects found on the assembly lines and final quality inspection.
- Prepare damage reports for containers/trucks; take photos, document issues.
- Maintain the daily defect report including new issues, parts ordered and/or received, and repair completion dates
- Assist with the recording of inbound material on dock; import to excel sheet for processing.
- Assist with importing in-bound material into SAP
- Assist with plant production schedule; shipping schedule; and plant FIFO
- Assist with plant inventory control documentation.
- Prepare end of day report and send to internal management team
- Ensure adherence to environmental management and systems
- Maintain supplies inventory/reorder for production/shipping offices
- Assist with shipping department tasks, including BOLs, pull sheets, etc. as needed
- Prepare overnight shipments to send (FedEx, UPS, etc.).
- Administrative duties for shipping and logistics offices.
- Other duties as necessary or assigned.
Job Qualifications:
- Previous experience in a shipping or receiving environment preferred.
- Comfortable in a warehouse setting
- Strong with interpersonal relationships and communications
- Excellent organization and administrative skills
- Exemplary customer care and service
- Able to think analytically and problem-solve
- Able to operate heavy machinery
- Detail-oriented and able to multitask
- Knowledge of OSHA requirements.
- Ability to read and understand documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Must be able to lift 50 pounds.
