The Clerk’s Office in Austin is currently looking for a Relief Courtroom Deputy. The Relief Courtroom Deputy will assist Federal Judges when a Judge’s regularly assigned courtroom deputy is unavailable. When not performing courtroom deputy duties, the incumbent will maintain and process case information from opening to final disposition and will serve as a backup for the financial functions of the divisional office.
  • Manage judge’s caseload in the absence of the regularly assigned courtroom deputy. Calendar and regulate the movement of applicable cases. Monitor the filing of pertinent documents and timely responses to judicial orders. Set dates and times for hearings, trials, and conferences. Keep judge and immediate chambers staff informed of case progress or impending changes.
  • Attend court sessions and conferences - Assist with the orderly flow of proceedings, which includes administering oaths, setting up the courtroom, assuring the presence of all necessary participants, managing exhibits, and assisting with electronic evidence presentation systems. Take notes of proceedings, rulings, notices, and prepare minute entries electronically. 
  • Draft form orders and judgments for the judge's approval, prepare and docket orders, pleadings, judgments, and minutes utilizing the Court's electronic filing system (CM/ECF). 
  • Receives and reviews incoming documents for conformity with appropriate rules, practices, and court requirements.
  • Maintains the integrity of case files by monitoring proper access to records. 
  • Notifies appropriate chambers staff and Clerk's office staff of emergency filings.
  • Makes summary entries of documents and proceedings on the electronic filing system docket including pleadings, petitions, motions, complaints, minutes, appeals, and orders. 
  • Opens cases upon receipt of initiating documents, such as complaints, indictments, or petitions and closes cases upon receipt of terminating documents, for example, judgments and closing orders. 
  • Monitors and assesses divisional office financial functions to ensure compliance with established policies, internal control guidelines and financial standards.  
  • Establish accurate financial records for criminal debt and any civil filing fee obligations.
  • Review daily mail log to assist cashiers with properly receipting funds.
  • Prepares vouchers for disbursement of cash bonds and civil judgments. 
  • Assist the Clerk's Office as needed, and all other duties as assigned. 
  • Three years specialized court experience or equivalent work experience in a legal environment or closely related field.
  • Bachelor's degree preferred.
  • Prior experience with the Court's case management system (CM/ECF) is preferred. 
  • Prior financial or accounting experience highly desirable.
  • Proficient skill with Microsoft Office, Adobe Acrobat, and Outlook.
  • Attention to detail and accuracy, and ability to perform quality control.
  • Understand legal terminology.
  • Commitment to providing excellent customer service.
  • Interact effectively and appropriately with others as a team.
  • Exhibit excellent judgment, temperament, integrity, trustworthiness, resilience, and character required of a judiciary employee.
  • Ability to maintain confidentiality, handle sensitive information, and exercise discretion at all times.
  • Self-motivated, professional demeanor even in a stressful, fast-paced environment, and excellent communication and interpersonal skills.
  • Availability for overtime and occasional overnight travel is required.
