Summary

The Program Support Assistant (PSA) is assigned to the Care Management Service (Social Work and Nursing Case Management) at the VA Kansas City Healthcare System (VAKCHCS), which includes but is not limited to Community Nursing Home Program (CNH), Adult Day Healthcare (ADHC), Hospice and Palliative Care (HPC), and Veteran Directed Care (VDC). The PSA provides clerical and administrative support services to the Social Workers and Registered Nurses and its programs.

  • Prepares all required reports for submission to various regulatory bodies including Joint Commission (JC), Commission on Accreditation of Rehabilitation Facilities (CARF), Office of Inspector General (OIG) among others.
  • Tracks internal reviews, action items, and quality measures of the Care Management Program. Maintains program databases by tracking all information and utilizing appropriate guidelines and ensuring the security, integrity, and confidentiality of all data, records, and files.
  • Utilizes different software types to prepare a variety of materials using word processing, spreadsheets, and graphic desktop software to create, edit, and manipulate correspondence, reports, and briefings - pulling data from related informational systems (open encounters, consults, and various program-specific dashboards) in order to design the format for optimum presentation of data.
  • Verifies funds availability prior to making purchases, complies with single purchase and monthly limits, and verifies receipt of orders.
  • Assists in gathering, reviewing, verifying, and consolidating a variety of information and statistical data needed to submit budgetary forecasts for current and forthcoming fiscal years, as well as new requirements that materialized during budget cycle.
  • Receives and disseminates information essential to the functioning of the assigned area to include providing customer service, timely submission of correspondence to Care Management Service management staff and leadership and medical center staff.
  • Performs other related duties as assigned.



Work Schedule:
Monday - Friday, 8:00am - 4:30pm

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/05/2025.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the . The GS-05 grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Plans, coordinates, and executes business functions, resource allocation, and production; Prepares, justifies, reports on and executes the budget; Works and communicates with clients and customers (e.g., any individuals who use or receive the services or products that your work unit provides, including individuals who work in your agency or in other agencies or organizations outside the Government) to satisfy their expectations; Automates, develops, implements or administers database systems.

You will be rated on the following Competencies for this position:

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.



Physical Requirements:
The work is sedentary. Typically, the employee sits comfortably to do the work. There may be some walking, standing, bending, or carrying of light items such as papers and books or driving an automobile. There are no special physical requirements to perform the work.

Additional information

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
