Compensation :
Pay Range: $16.50 - $26.80/hour

JOB SUMMARY :
The Human Resources (HR) Specialist provides administrative support to the Human Resources department and employees. The HR Specialist is responsible for coordinating and/or assisting in HR functions such as: HR Administration to include records management and compliance, support of Employee Relations, Talent Acquisition, Onboarding, and Employee Rewards program. Maintain current working knowledge of compliance and regulatory concerns, industry trends and best HR practices Participate in continuous HR improvement initiatives and metrics.
Responsibilities and Duties:
Administrative Support
o Managing schedules and appointments for HR executives.
o Answering phone calls, responding to emails, and handling correspondence.
o Maintaining and organizing employee records, files, and HR documentation.
o Preparing HR reports, presentations, and spreadsheets.
o Assists with preparation of plans, policies, documents, and reports including organizational charts, affiliation agreements, and employee handbooks.
o Assist with Employee Reward and Recognition activities.
o Provide HR reports as requested/ needed.
o Serve as backup Payroll liaison.

Recruitment Support
o Preparing onboarding materials for new hires.
o Reference checks
o Job description updates
o Policy updates
Compliance and Record-Keeping
o Ensuring compliance with labor laws and company policies.
o Distribution of labor law posters
o Office of Inspector General (OIG) monthly reporting; https://exclusions.oig.hhs.gov/
o Maintaining confidentiality and data security for sensitive HR information.
o HR Data integrity/ document management which includes but not limited to scanning documents into the electronic system and performing quality checks to ensure scanned images are legible.
o Audit electronic and physical files to ensure data is complete and accurate.
o Maintain expiring employee certification and licensure tracking to include sending reminders.
o Maintain confidentiality and accurate HR files.
Employee Relations
o Assisting in organizing employee engagement events and initiatives.
o Handling basic employee inquiries regarding policies and procedures.
o Providing support during performance reviews or disciplinary meetings.
Learning and Development Support
o May coordinate training sessions, workshops, and orientations.
o May prepare and distribute training materials.
General Office Duties
o Ordering office supplies and managing inventory for the HR department.
o Managing travel arrangements for HR executives
EDUCATION AND EXPERIENCE:
Required: Position requires high school diploma and three years responsible human resources administrative support experience. A relevant college degree may substitute for some of the experience requirements.
Preferred: Bachelor's degree in human resources, business management, business administration, or other relevant fields . Administrative experience in Human Resources strongly preferred.
LICENSE, CERTIFICATION AND/OR REGISTRATION:
Required: None
Preferred: SHRM-CP/SHRM-SCP or PHR/SPHR

Prior demonstrated work experience managing confidential and sensitive data as part of job responsibilities. Effective communication (written and Verbal) skills, presentation skills and customer service skills. Prioritize and coordinate daily tasks and work within tight deadlines. Strong organization skills, attention to detail and ability to adapt to changing priorities.
