About the Role

Our Program Services Associate team is responsible for ensuring excellence in execution for 70 programs delivered annually across multiple channels and delivery formats (on-site, virtual and hybrid). This position provides ongoing operational support to the Program Services department, as well as program-specific tactical support to our Program Services Managers and Faculty. The Program Services Associate team is integral to ensuring a smooth learning journey for our program participants. This position reports directly to the Operations & AV Manager, Program Services.


Detailed Key Responsibilities:


  • Manages important elements of program logistics and deliverables, including but not limited to: program handouts and supplies (both preparation and ordering), classroom set up and tear down, and media/audiovisual equipment set up. 
  • Provides on-site support at in-person programs, which may include being present at program sessions or providing support on early morning registration and occasional evening/weekend special events, supporting the movement of participants from one on-campus location to another, checking set-up of catering and other vendors, and assisting Program Service Manager or Faculty in delivery of program exercises.
  • Provides online support for online programs which may include uploading of program documents and readings and supporting delivery.
  • Interacts directly with clients and program participants, professionally representing Berkeley Executive Education to key stakeholders, and providing the highest quality of customer service.
  • Completes tasks related to select special projects with fellow Program Services Associates.
  • Maintains and tracks Program Inventory and Bulk Special Orders (totaling hundreds of thousands of dollars annually), ensuring materials and supplies are accounted for and replenished as needed.
  • Other projects as assigned.


Preferred Qualifications:


  • Minimum of 3 years experience in a professional office setting, or in professional conference and event services.
  • Strong project management and organizational skills, with the highest level of attention to detail and deadlines. Excellent time management skills.
  • Ability and desire to contribute to ongoing operations and process improvement efforts across all of Berkeley Executive Education, contributing ideas to key operational workstreams. Expected to regularly identify ways to improve business and program operations and finances.
  • Thorough knowledge of all Google suite products and MS Office applications. Familiarity with Asana is preferred.
  • Desire to be part of a highly collaborative team. Ability to balance ever-changing special projects with ongoing job responsibilities. Must be able to work independently and with minimal direction, exercising own discretion in managing crucial elements of Berkeley Executive Education’s program services team operations.
  • A strong customer service mindset. An efficient problem-solver with excellent judgment and decision- making skills.
  • Exceptional interpersonal skills, including political acumen and diplomacy. Able to quickly and easily build strong relationships with diverse audiences, and work as a team-player. Comfortable working with a broad range of stakeholders, including international participants and University of California, Berkeley Faculty members.
  • Must be highly motivated, and have the ability to work on multiple projects and meet tight deadlines in a fast-paced, high-energy environment. Must be flexible, energetic and have a desire to be part of a fast growing organization.

Salary:

This is a contract position billable from $27-$30/hour based on experience, 30-40 hours per week from February 2025 to June 2025, with a possibility of future seasonal contracts, and/or consideration for permanent positions.
