Advancement Training Program Manager

Hiring Pay Scale : $69,500-$80,000

Reporting to the Managing Senior Executive Director, Central Advancement Programs (MSED), the Advancement Training Program Manager will serve as both the program lead for the Advancement Training Program and as the primary training resource for the organization. The Program Manager manages, supports, and delivers on the entire Advancement training catalog which is tailored to the specific needs of the Advancement organization.

Incumbent applies learning and development techniques in the design, development, delivery, management and evaluation of Advancement- specific courses and programs, and incorporates existing University of California systemwide and UC San Diego campus-wide training programs to develop cohesive, comprehensive learning and development tracks for Advancement staff at all levels. The program utilizes a train-the-trainer model, Staff Education / other university resources, other relevant resources (CASE, Academic Impressions, etc.) and engages specialized content providers as appropriate to maximize relevant training offerings for the organization. The Program Manager will ensure that the entire Advancement Training Program operates with the highest levels of customer service and is rooted in the principles of equity, diversity and inclusion. The Program Manager is responsible for generating organization-wide awareness and understanding of the Advancement Training Program and for supporting users and supervisors directly to mitigate any barriers to access or adoption. They are also responsible for developing and deploying self-service content that empowers users to learn on demand and independently address questions by ensuring user-friendly ways to access to system, policy and procedure information.

With guidance and direction from the Executive Director of Prospect Development, the incumbent will be responsible for end-user training and first-line triage and support for the Engagement, Stewardship, and Philanthropy (ESP) constituent database and its related systems. This includes developing and delivering instructor-led curriculum (in- person and virtual; live and asynchronous), direct user support, 1 : 1 training on an ad hoc basis, identifying trends in system training needs, developing curriculum and customer support documentation, and program management for all core Advancement system course offerings, including those taught by other instructors.

Working closely with the Deputy Chief of Staff for Advancement, unit operations leads, and supervisors, the Program Manager is the central resource for Advancement employee onboarding, ensuring new staff have the necessary knowledge to do their job as effectively as possible. This includes ensuring new staff have the knowledge and skills to correctly utilize ESP and related systems; to follow Advancement policies and procedures; to effectively navigate the Advancement organization; collaborate with colleagues; and utilize Advancement resources and professional services. For current employees, the Program Manager develops mechanisms to promote and support ongoing learning opportunities for ESP and related systems; business processes, policies and procedures; relevant professional development opportunities; and business resources such as the Advancement toolkit, SharePoint and Blink.

Working closely with the MSED, Executive Director of Prospect Development, Deputy Chief of Staff, and operations leads across Advancement, the Program Manager is responsible for ensuring that the entire Advancement Training program is meeting the needs of the business, creating benchmarking and metrics to measure the success of the program. The Program Manager is also responsible for ensuring Advancement leadership vision and needs for training are met, partnering with the VC Office and AVCs to understand and support organization-wide training priorities, gaps in current offerings, and for regularly reporting on the results and business impact of the entire Advancement Training Program.

QUALIFICATIONS

  • Thorough knowledge of training and development, performance management and workplace learning. Ability to apply knowledge to achieve successful organizational outcomes.
  • Thorough analytical skills to conduct analysis and develop recommendations, demonstrating organization and problem-solving skills.
  • Strong analytical, verbal, written and interpersonal communication skills and strong presentation skills.
  • Thorough knowledge of delivering training programs and thorough knowledge of other areas of human resources.
  • Experience working successfully in a team and customer service environment, with emphasis on high-quality service and prompt response to inquiries or other needs for assistance.
  • Thorough knowledge of current training programs and trends.
  • Thorough knowledge of organizational policies and procedures.
  • Strong skills to conduct needs assessment and development of new training courses to meet organizational needs.
  • Thorough knowledge and skills with relevant business software systems; i.e., Word, Excel, Access, PowerPoint.
  • Strong skills in planning, resourcing and monitoring effective delivery of training.
  • Thorough knowledge of applying adult learning theories and education methodologies.
  • Excellent organizational abilities and project management skills. Ability to independently manage complex tasks, with competing demands for time and resources. Ability to independently prioritize and schedule work effectively within set guidelines to meet established deadlines, with special attention to detail and interrelationships of tasks.
  • Excellent interpersonal and communication skills. Demonstrated ability to communicate in a professional, polite, helpful, courteous, friendly way with individuals from a wide variety of professional and cultural backgrounds. Ability to prepare and give effective presentations.
  • Ability to train people from a wide variety of backgrounds in the use of tool sets, especially professionals and academics and including people with varied computing skills.
  • Experience conducting careful project research, analyzing data, creating reports, and developing and implementing surveys. Experience working successfully with course and service statistics. Ability to analyze statistical usage data and prepare reports.
  • Thorough knowledge of functional area and understands how work may impact other areas.
  • Proven ability to make independent decisions, initiate action and follow through. Ability to identify problems or issues, develop and implement solutions to quickly resolve.
  • Ability to advise leadership, colleagues, and staff regarding program goals and objectives.
