Description

Reporting to the Executive Director, Gift Services & Accounting/Controller, UC San Diego Foundation, The Director, Gift Services is responsible for oversight of the Office of Gift Services, which is responsible for cash handling, review, processing, and receipt of high-volume gift transactions to both UC San Diego and the UC San Diego Foundation, fund creation and management, and related record-keeping in the donor database. Develops and implements strategies to streamline workflow, processes, policies, and practices, leveraging new tools and software to enhance unit infrastructure and align with strategic goals. Provides expert analysis and reporting on UC San Diego Private Support totals, ensuring compliance with UC and CASE standards for management review and national surveys. Exercises judgment in reviewing and accepting complex planned gift transactions, collaborating with leadership in Advancement and across campus to provide expertise on charitable gifts and services. Delivers excellent customer service to donors and internal customers, applying a deep understanding of Advancement in a major research university environment, the role of the campus Foundation, and the importance of donor stewardship.

Fin Anal Mgr I Career Tracks:Receives assignments in the form of objectives and determines how to use resources to meet schedules and goals. Manages, prepares, administers, and directs control of budget / organization resources. Manages the activities of the financial / resource analyst staff. Reviews and approves recommendations for financial planning and control. Monitors unit's adherence to the approved budget. Provides guidance to subordinates to achieve goals in accordance with established policies. Work is reviewed and measured based on meeting objectives and schedules. Follows processes and operational policies in selecting methods and techniques for obtaining solutions. Erroneous decisions or failure to achieve goals results in additional costs and personnel, and serious delays in overall schedules.

Qualifications

  • Ability to evaluate the adequacy and effectiveness of administrative and financial processes and controls and to evaluate the effectiveness and efficiency of operations and compliance with applicable policies and regulations. Ability to determine and implement process improvements continuously using Lean Six Sigma and other techniques. Working knowledge of theories and systems of internal controls (financial, management, and IS).
  • Demonstrated experience and ability to develop short and long-term strategic plans, policies, and procedures for a large operational unit. Ensure effective implementation and oversight. Ability to plan, implement and evaluate change.
  • Proven advanced knowledge and understanding of the highly complex nature of gifts, planned gifts, financial data, investing and managing endowments, and gift purposes and functions in higher education. Clear understanding of the components of investment returns, and endowment spending.
  • Demonstrated experience analyzing data from various database queries and similar tools. Base knowledge and experience in the use of data structures with relational database design. Base knowledge of computer networking and information technology principles, practices, and terminology and their application in a university environment. Advanced proficiency in the use of MS Office suite of products, business computer applications, and relational databases. Demonstrated ability to use Excel functions (Pivot tables, Vlookup, Hlookup, IF, Concatenate). Demonstrated ability to use advanced Word merge functions.
  • Broad and thorough knowledge of theories and principles of the accounting profession, good business practices, and/or general administration through knowledge of and experience in taxation, tax law, and tax planning.
  • Comprehensive knowledge of finance and budget policies, practices and systems; budgeting and reporting techniques; fund accounting; human resource planning; accounting and bookkeeping. Required
  • Advanced experience in financial analysis, analysis of complex financial data to determine financial feasibility and organizational risk, problem-solving, modeling, and the formulation and implementation of creative solutions.
  • Interpersonal skills and ability to work effectively across the organization at all levels; ability to interact with diverse populations. Demonstrated ability to exercise diplomacy and maintain confidentiality. Must be able to work with diverse groups, to participate and cooperate well with others both within and outside of the University. Required
  • Ability to effectively communicate verbally and in writing. Demonstrated advanced ability to analyze complex information, situations, and policies, formulating logical conclusions from diverse data sources. Proven skill in anticipating needs, solving problems independently, and making sound decisions. Experienced in comprehending and interpreting complex financial data, written policies, and procedures. Proficient in utilizing various data programs to create customized reports and spreadsheets in response to ad-hoc statistical requests. Capable of planning and implementing complex projects while understanding a wide range of financial documents.
  • Client services oriented; good listening, critical thinking, and analytical skills. Excellent written and verbal communication skills. Skill in negotiating and exchanging ideas with others and to arrive jointly at decisions, conclusions or solutions. Ability to clearly articulate goals and direction, and formulate strategies. Strong verbal and written presentation skills with the ability to provide clear information for senior campus administrators. Proven ability to make insightful, coherent presentations, and respond to rapid questioning on difficult issues.
  • Ability to multi-task. Demonstrated ability to work independently and under pressure, manage multiple concurrent tasks and responsibilities, and deal with changing priorities, while maintaining personal effectiveness. Proven experience providing counsel and management support to executives, overseeing commitments, and ensuring priorities are managed in a highly dynamic and changing environment.
  • Demonstrated strong organizational and leadership skills; ability to effectively direct and supervise professional staff with the ability to train, motivate, and lead a diverse workforce, resolve conflicts, and provide constructive criticism and progressive discipline as needed; to promote an inclusive and positive work environment and set priorities to direct others within high standards of productivity and ethical outcomes. Experience in developing and delivering training materials and instructing in medium to large training settings across multiple areas of organizations.
  • Knowledge and understanding of internal control practices and their impact on protecting University resources. Knowledge of the principles of higher education and of an academic institution’s organization, structure, and functions. Knowledge of CAE/CASE/NACUBO standards of reporting. Specific demonstrated knowledge of fundraising principles and practices. Demonstrated experience with cash-handling environments. Working knowledge of accounting systems and constituent relational databases in higher education fundraising.
  • Demonstrated experience and/or background handling and reviewing legal documents.
  • Demonstrated experience (typically 10 years minimum) in a related gift services position in higher education or non-profit.
  • Demonstrated extensive experience and expertise in managing personnel with a proven ability to interpret and enforce related policies and procedures. Broad knowledge of policies and procedures related to staff classification, recruitment, appointment, and compensation. Proven ability to counsel employees on personnel rules and regulations governing employees. Excellent team building and group facilitation skills, applied to diverse work groups and individuals. Proven ability to motivate and maintain good morale and productivity, delegate work as appropriate, direct staff, and to create and maintain team spirit and harmonious working relationships.
  • Specific proficiency, knowledge, and experience interpreting and applying state and federal laws, policies, procedures, guidelines, and protocols pertaining to gift funds and endowment policies and procedures. Knowledge of IRS regulations, fund accounting, CASE reporting standards, and expendable gift and endowment administration.

  • Effort outside of the normal 40 hour workweek may occasionally be required.
  • Fiscal & Calendar Year End closing is a critical business period during which vacation requests may not be approved.

Pay Transparency Act

Annual Full Pay Range: $104,900 - $198,900 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $50.24 - $95.26

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
