Hours - Monday - Friday 8am - 5pm.
Position Summary
Assumes responsibility for maintaining, updating, and organizing medical records. Completes related records functions including pulling patient charts, copying, and forwarding records, tracking, and filing medical transcriptions, and ensuring that privacy and confidentiality procedures are followed. Manages phone requests from patients and other medical facilities and obtains and conveys information as appropriate.
Responsibilities and Duties:
Assumes responsibility for the effective performance of medical recordkeeping duties.
- Maintains, retrieves, scans and files medical records and reports of the clinic in an organized and complete manner.
- Sorts medical records in-box.
- Refers all specialist referrals for patients (except those requiring authorization).
Assumes responsibility for establishing and maintaining effective working relationships with patients, health care providers, and other medical professionals.
- Responds to phone calls pertaining to medical records from patients, other facilities, insurance companies, attorneys and from the office.
- Ensures requests are processed promptly.
- Obtains and conveys information as needed.
- Ensures management is appropriately informed of area activities and of any significant problems.
Responds to requests for records in compliance with established confidentiality standards.
- Releases medical information to attorneys, insurance companies, patients, hospitals, and other physicians within legal parameters established by the clinic.
Performs other job-related duties as assigned.
- Attends meetings as required.
- Adheres to HIPAA guidelines/regulations/annual HIPAA training.
Education
- A high school education or GED.
Work Experience:
- From three months to one year of similar or related experience.
Knowledge
- Knowledge of patient charting and recordkeeping processes.
- Computer, word processing and spreadsheets
Skills/Abilities
- Excellent oral and written communication abilities.
- Good interpersonal and public relations skills.
- Solid problem-solving skills.
- Attention to detail.
- Well organized.
- Able to correctly operate all related medical equipment.
