The Opportunity:

Human Resources seeks an OPS Office Support Assistant to join their team! The OPS Office Support Assistant is responsible for supporting the Human Resources front desk, as well as performing administrative and clerical functions for various HR units. The position performs a wide variety of general office support duties. Duties include answering phones, greeting/referring/assisting visitors, customers, staff, or others, mail handling, filing, office supply inventory management, and general facilities operational tasks. 

Responsibilities:

External and Internal Relations
• Greets visitors and provides employees, faculty, and the public with information regarding programs, resources, and services.
• Answers external phone calls and directs inquiries correctly within the organization.
• Provides information for routine inquiries.
• Accepts and signs for deliveries.
• Screens, sorts, and distributes mail.
• Supports the hiring, training, and oversight of front desk student employees.

Office Support
• Ensures standard office machinery (e.g. phones, printers, copiers, and fax) are in working order.
• Supports scheduling efforts of individuals and meeting spaces.
• Assists with routine data entry requests.
• Supports the closing and opening of office/meeting spaces.
• Assists other administrative support personnel in efforts to manage office.
• Responsible for facility work orders. 
• Supports supply orders and maintaining inventory.
• Assists staff in preparing for meetings by providing handouts and note-taking when required. 
• Attends any training sessions (Human Resources, Teams, Workday, etc.) as applicable for enhancement of job-related skills.

Project Support
• Assists with special projects under the direction of supervisor.
• Assists other work stream leads on HR Operations & Strategic Initiatives team with occasional projects.
• Provides timely updates, ensures proper documentation, and pulls in supervisor when appropriate to ensure successful project completion.
 

Minimum Qualifications:

High school diploma and 0 years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:

  • Experience in higher education.

  • Customer service skills.

  • Experience in Microsoft Office applications. 

  • Familiar with virtual meeting platforms such as Microsoft Teams or Zoom.

  • Skills or aptitude for developing and maintaining relationships- strong interpersonal skills.

  • Proven communication skills, particularly with different groups to include faculty, employees, and students.

  • Ability to work independently, as well as with self-directed teams.

Special Instructions to the Applicants:

The hourly rate for a well-qualified candidate is expected to be around $15 per hour based on a combination of education and relevant experience.
