The Admin Assistant III assist Custodian of Records & Image Quality Assurance, and is responsible for (but not limited to) performing some Legal Desk duties in addition to complex Digital Librarian computer job duties. The Admin Assistant III t demonstrates complex and advanced IDX Quality Assurance and GE Centricity Image Quality Assurance competencies, following HIPAA guidelines and documentation. The Admin Assistant III is responsible for all revenues collected by subordinate staff for image duplication, subpoena, and clerical fees. The Admin assistant III as requested, functions as the Image Librarian with a high degree of independence. Special projects to be assigned.
1. Comprehensive knowledge of Subpoena processing, practices and policies.
2. Detailed knowledge of Department, Enterprise, & UC policies for release of medical records, including State of California evidence codes.
3. Speaking skills to clearly communicate information to physicians, staff, and patients using correct grammar, and vocabulary.
4. Customer communication skills and manners to process volumes of inquiries with tact and diplomacy.
5. Reading skills to understand forms, training manuals, accounting forms, and other written materials prepared in standard English.
6. Writing skills to prepare deposit forms, film jackets, addresses, and other records legibly and accurately.
7. Ability to maintain subpoena data files and deposit logs in an orderly fashion.
8. Ability to prioritize multiple tasks, shifting workloads, and frequent deadlines to complete tasks within time allotted.
9. Physical ability to lift wire baskets of x-rays or boxed supplies weighing approximately 25 pounds required.
10. Physical ability to reach and pull out files weighing several pounds from shelving approximately 8 feet in height required.
11. Physical ability to stand for long periods during the shift required.
12. Interpersonal skills to interact as part of a team while maintaining cooperative working relationships.
13. Ability to fill out JCAHO forms, tests and procedures and maintain HIPAA compliance.
14. Knowledge and experience on current departmental systems.
15. Ability to be flexible with working hours given adequate notice.
16. Ability to accept and carry out oral and written instructions accurately.
17. Excellent interpersonal skills to communicate effectively and diplomatically with patients, visitors, staff, physicians in person or on the telephone.
