Working independently under general supervision of the Associate Director of Academic Planning & Analysis and using professional Registrar student record based concepts, applies a level of breadth and depth with student record and service delivery practices, policies, and regulations. Applies theory into practice with in-depth understanding of the functional Registrar and Scheduling fields, with an emphasis on how such applies specifically to Summer Sessions and other subsets of the academic year. Maintains clear understanding of the specifics of Registrar and Academic Senate policies and how they apply to Summer Sessions' courses and students. Capable of independently performing the full range of responsibilities within Registrar and Scheduling functions, and translating broad job knowledge/scope of understanding to analyzing various student record, course scheduling, and enrollment issues in order to problem solve and determine solutions and best practices for the Summer Sessions unit. Provide programmatic support for assigned summer programs, as well as manage and analyze Summer Sessions and International Education (SSIEO) scheduling requirements and needs, including special requests, ensuring effective and efficient delivery of services that meet a variety of demands and expectations of diverse constituencies across campus. Develop and maintain yearly scheduling production timetables and implement required tasks coordinating with other campus units. Lead annual analytical effort evaluating subject-level course enrollment performance with a specific focus on student type and modality distinctions, and make recommendations to departmental leadership on strategic scheduling and decision making surrounding optimal course offerings. Coordinate and execute the scheduling of all offerings through SSIEO using the University's scheduling system in accordance with University policies. Analyze general assignment room usage and availability, as well as scheduling patterns, during the summer and prepare reports and data that inform strategic classroom utilization for summer offerings. Serve as a main resource for summer scheduling matters, providing guidance and training to improve summer scheduling efforts and strategies. Provide support for the enrollment planning and analysis, budget process, financial reconciliation, development of marketing materials and customer services related to assigned programs. Work with academic departments and units on the planning and administration of new and existing programs that serve various summer populations. Review and monitor enrollment and market trends for various programs and suggest possible programming ideas and recommendations for improvement as needed. Serve as a liaison with other campus and external units as assigned. Provide back-up administrative and student service support to other Summer Sessions offerings. Responsibilities require a high level of long-term project management skills, attention to details, an ability to perform information and data analysis for strategic planning and various reports, an ability to work independently and collegially and to pursue a flexible schedule occasionally, and a willingness to serve a diverse population of students, as well as academic units and faculty.

  • UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications


  • One year or more years of relevant experience in higher education or equivalent combination of education and experience (Required)
  • Quality-driven, customer-oriented work approach in all situations including those that are stressful and demanding; excellent interpersonal skills to establish and maintain cooperative working relationships with faculty, administrators, students, and external agencies of various socio-economic, ethnic, and cultural backgrounds; utilizes excellent constituent service skills with all interactions.   • Proven ability to take initiative, work independently but collaboratively, and to follow through on assignments with minimal direction; ability to prioritize assignments in a way that accurately reflects their relative importance when faced with heavy workloads, competing deadlines, changing priorities, and frequent interruptions and to manage projects effectively to meet goals, identifying and coordinating the resources required for project completion.   • Skill in working with a high level of detail in policy, procedures, records, and records services provision, and ability to analyze data, evaluate procedures, study and report results and implications, and recommend course of action. General knowledge of University regulations, procedures, the layout of the campus, the structure and function of University offices and departments, and their organizational relationships. (Required)
  • Ability to apply thorough knowledge of policies to a variety of individual situations. Recommend procedures to ensure compliance in a diverse learning community. (Required)
  • Strong problem identification, critical thinking, and problem solving skills; strong judgment and decision-making abilities. Capable of assessing difficult situations, understanding processes, and developing & implementing solutions and improvements. (Required)
  • Skill in gathering and organizing large amounts of information, data, and materials from diverse sources concisely, accurately, systematically, and efficiently; ability to organize effective record keeping and retrieval methods to optimize efficiency and to minimize duplication of effort; proven ability to conduct market research and data analysis and to synthesize complex information. (Required)
  • Excellent verbal and written communication skills to obtain, relate, and explain complex information clearly, concisely, accurately, and diplomatically, as well as to enforce policy and procedures, in both formal and informal settings. (Required)
  • Demonstrated ability to successfully organize, plan, and execute small- and large-scale projects and events; strong organizational skills and ability to prioritize work and meet deadlines. (Required)
  • Ability to comprehend and use Summer Sessions systems and databases, as well as University systems for summer-specific registration and enrollment related activities. Proficient knowledge and expertise in scheduling and relevant procedures. (Required)
  • Knowledge of generally accepted counseling methods and intake techniques, and skill in employing them with sensitivity to assist various summer populations in making summer registration and enrollment-related decisions. (Required)
  • Knowledge of accounting principles to analyze financial data relevant to financial transactions for registration and enrollment; ability to prepare expense statements and budgets. (Required)
  • Broad technical skills and experience with common University-specific computer application systems and programs, Slate CRM systems, and productivity software & platforms (e.g., HTML, Adobe Acrobat, Content Management Systems, and other web-based applications, as well as Microsoft Office with emphasis in Word, Excel, PowerPoint and Outlook); ability to learn new software as needed (Required)
