General Purpose of this position: Provide administrative support to the President and CEO; requires involvement with high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgment
Essential Duties and Responsibilities include the following:
- Performs a variety of administrative or executive support tasks that are highly confidential and sensitive.
- Prepares and edits correspondence, communications, presentations and other documents
- Files and retrieves documents and reference materials
- Conducts research, assembles and analyses data to prepare reports and documents
- Manages and maintains executives schedules, appointments and travel arrangements
- Arranges and coordinates meetings and events
- Records, transcribes and distributes minutes of meetings
- Monitors, responds to and distributes incoming communications
- Answers and manages incoming calls
- Receives and interacts with incoming visitors
- Interacts with external clients
- Co-ordinates project-based work
- Reviews operating practices and implements improvements where necessary
- Supervises and trains administrative assistants and clerical staff
- Works closely with the CEO/President to ensure that all projects and contracts are up to date and ensure relevant managers produce monthly management reports for the CEO outlining progress on all reports
Qualifications
Education and/or Experience
A successful candidate must possess a high school diploma. Associate degree (A.A.) from an accredited institution preferred. Three to five years related experience and/or training; or equivalent combination of education and experience. Experience in administrative support activities with intermediate to advance knowledge of Microsoft Office software (Word, Outlook, Excel, PowerPoint).
