Essential Duties
- Partners with Recruiters to draft, send, and track offer letters, ensuring timely completion by candidates.
- Supports the onboarding process and develops a strong working knowledge of the HRS onboarding portal. While not expected to be a subject matter expert initially, this role requires the ability to learn systems and processes quickly and apply them effectively.
- Manages background checks, reference checks, and employment verifications for candidates.
- Ensures candidates meet minimum onboarding requirements and flags any potential concerns.
- Facilitates compliance with Fair Credit Reporting Act (FCRA) and Adverse Action notices.
- Coordinates all onboarding documentation and tasks related to background checks and internal systems.
- Maintains frequent communication with candidates, hiring managers, and HRIS to address onboarding questions and updates.
- Manages “Day One” deliverables and ensures smooth transitions to internal People team partners.
- Onboards internal mobility (current employees), interns, program/summer staff, and rehires.
- Supports student internship programs, university relations efforts, and related talent initiatives.
- Manages and updates job postings across internal and external platforms.
- Posts open positions to job boards such as Handshake, Indeed, and others as appropriate to the role.
- Maintains and updates the applicant tracking system (ATS) to ensure data accuracy and workflow consistency.
- Coordinates interview scheduling and communication between candidates and hiring teams.
- Collects, organizes, and reports on onboarding feedback and candidate experience surveys.
- Maintains backend documentation and supports continuous improvement of onboarding tools and resources.
- Performs other duties as assigned.
- Adheres to organizational policies, procedures, and business ethics codes.
- Completes required regulatory training as assigned.
- Maintains strict compliance with laws, regulations, policies, and procedures relevant to the role, including but not limited to the Bank Secrecy Act, Anti-Money Laundering (AML), USA PATRIOT Act, OFAC, and Fair Lending Regulations.
- 6 months to 2 years of experience in talent coordination, recruiting, or administrative support.
- Proficient in Microsoft Office Suite.
- 3 years of experience supporting recruitment, onboarding, or other HR-related functions.
- Familiarity with Fair Credit Reporting Act (FCRA), Adverse Action process, and associated compliance.
- Prior experience working in a highly regulated environment, such as financial services.
- Strong written and verbal communication skills.
- High attention to detail and organizational abilities.
- Proven ability to manage multiple tasks, prioritize competing demands, and meet deadlines.
