Preferred Qualifications Position Summary
This position serves as the public face of the Department of Journalism and the central hub of support for faculty and students. Some courses in the Journalism major are taken with permission of department (POD), and employee assigns the PODs and works with academic advisors to place students in classes. Within this positon, the employee schedules faculty teaching times and rooms and supports the department head by helping to prepare administrative documents, to organize special projects, to facilitate the review process for promotion and tenure, and to coordinate internship-for-credit materials. Employee handles administrative duties for faculty searches, keeps track of applications, schedules itineraries for campus visits, and assists in seating new hires. Employee manages the documentation when the department hires temporary faculty and also provides administrative support for all Journalism faculty. Employee provides support for events hosted by the department, helping to set up and tear down events, to make room reservations, and to arrange and coordinate any catering.

Administrative
- Manages office workflow, and organizes and maintains department files.
- Serves as the main point of contact for the department when someone calls, emails, or visits.
- Provides general administrative support to the department head and the department faculty.
- Schedules faculty teaching times and rooms, and collects and maintains electronic copies of all department course syllabi each semester.
- Distributes faculty mail to department mailboxes.
- Schedules appointments and meetings for the department head upon request
- Handles administrative duties for faculty searches, keeps track of applications, schedules the itineraries for campus visits, and assists in seating new hires.
- Provides support for events hosted by the department, helping to set up and tear down events, to make room reservations, and to arrange and coordinate any catering.
Student Services
- Manages the Permission of Department (POD), Permission of Major (POM), and drop/add processes for the department.
- Reviews advisement forms for Journalism majors to consult with the department head on scheduling (i.e., how many sections of which classes will be needed).
- Handles inquiries related to class schedules for faculty, staff, and students.
- Provides information on curriculum, graduation, advising, and other questions regarding the Journalism major.
- Generates and maintains course enrollment information through to ensure minimum/maximum enrollment, and generates and maintains course approval information for the department.
- Compiles exam schedules for the department.
- Coordinates internships-for-credit with other Grady College staff, from approvals through completion.
- Makes copies of exams and other course materials for department faculty members.
- Works with Grady College advisors to solve student scheduling difficulties
Duties/Responsibilities: Administrative (Periodic)
- Collects faculty activity reports and vita for annual reviews and completion of the Promotion and Tenure Reviews, Third Year Reviews, Post Tenure Reviews, and Graduate Faculty appointments and reappointments.
- Manages regular and part-time instructor faculty positions in UGA Jobs, and assists in seating new faculty hires and facilitating their hiring proposals.
- Manages administrative duties for faculty job searches, working closely with the department head and chair of the search committee to schedule job candidate itineraries for campus visits.
- Works closely with the business office to make sure job candidates have hotel reservations and send confirmations to the job candidates.
- Manages and keeps track of all job candidate applications, and makes sure the chair of the search committee has updated information.
- Generates memos, emails, and reports when appropriate.
- Coordinates the entries for student journalism competitions.
