Position Description:
The Office Clerk performs daily back-office duties including billing, permits, etc. May include other miscellaneous tasks including but not limited to customer inquiries, assisting with the parts and install process, scheduling, and other various tasks using Microsoft Word and Excel.
- Receiving and researching Purchase Orders. Including maintaining proper files for packing slips/invoices
- Reviewing and updating POs from daily/monthly reports.
- Processing install folders for truck restock and researching any possible POs left open on the ticket.
- Reordering of truck stock for Service Technicians.
- Reviewing inventory discrepancies.
- Working with townships and municipalities to process all permits for equipment installations.
- Residential ticket billing, review and correct daily reports, verify payment, verify inventory ticket, create invoices when needed, follow up with field employees on missing payments.
- Providing field employees with POs for material/parts pick up.
- Processing credit card payments for field employees.
- Cross training in other duties and backup for others in the office.
- Other responsibilities as assigned.
Skills & Requirements:
- High School Diploma required.
- Competency in MS Windows, MS Suite, and MS Outlook.
- Ability to type a minimum of 30 wpm is preferred.
- Well organized, detail oriented with ability to work under pressure and meet deadlines while managing multiple concurrent tasks.
- Ability to work independently.
- Strong analytical, verbal, and written communication and interpersonal skills.
- Ability to work overtime during month-end and peak heating and cooling seasons is a must.
- Past inventory management experience a plus.
- Experience in HVAC business a plus
Work Environment:
Work is performed primarily in office 5 times a week during a work week with flexible start times. Preferred working hours are as such: 7:30AM – 4:00PM. The noise level in the work environment is usually moderate to low in office settings.
