Job Title: Administrative Assistant
Position Overview:
As an Administrative Assistant, you will be responsible for day-to-day tasks including service coordination, work order generation and service billings. You will provide highly effective communication and exceptional customer service both internally and to our external customers. You will be the point of contact for customer communication regarding scheduling, service status, invoicing and billing. You will report directly to the Service Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Include but not limited to the following. Other duties may be assigned as needed.
· Collaborate with Account Managers and other staff for efficiency.
· Monitor and answer main business phone line.
· Complete a range of administrative and clerical task including managing calendars, screening mail, preparing invoices, work orders and other related tasks.
· Renew and maintain contracts and assist in creation of regularly scheduled reports.
· Process purchase orders and assist with vendor billing.
· Assist in managing expense assignment to appropriate work orders. Assist in managing site parts for prompt turnaround of customer repairs.
· Work with the service team to assist managing the service technicians’ schedules, including scheduling service visits based on technician availability and customer needs.
· Work with service team to maintain dispatch/board schedule and organize travel arrangements for technicians’ as needed.
· Work with service team to forecast workload for the upcoming month.
Position Requirements:
· Must be able to pass a background check.
· High School Diploma or equivalent, additional education or certifications are a plus.
· Experience in the sales and service industry are a plus.
· Advanced written, verbal, customer service and relationship building skills.
· High-level organizational skills and service coordination skills.
· Strong Multi‐tasking skills.
· Flexible, willingness to be able to adapt to change.
· Ability to work well with others both internally and externally including in stressful situations.
· Proficiency in standard office computer programs such as MS Office 365.
· Knowledge of industry is recommended but not required.
- Ability to operate effectively and efficiently with minimal supervision.
