What are the responsibilities and job description for the Administrative Assistant - Graduate Medical Education position at uic?
Under the administrative direction of the Senior Director for Graduate Medical Education, this person will coordinate and manage academic information required by the Graduate Medical Education (GME) office, and provide executive support to GME leadership.
Duties & Responsibilities:
Manages reception, appointments and scheduling. Responds to requests for information from residents, faculty, staff, and external affiliates. Oversees verification of program completion. Routes incoming and outgoing documentation related to residency appointments. Provides executive level support to the Director.
Manage daily administrative tasks, including answering phones, scheduling, and organizing documents.
Handle requests for information and data, resolve administrative problems or inquiries.
Works with the Senior Director of GME to monitor internal controls and measures to assess programs' and residents' compliance with the Accreditation Council for Graduate Medical Education (ACGME), National Resident Matching Program (NRMP), University, and Medical Center policies, and Illinois state regulations. Researches current and changing compliance requirements. Creates and maintains databases to track and report on accreditation information, including but not limited to program internal reviews, duty hour audits, and program site visit documentation using Excel and New Innovations (or other resident management system software.)
Coordinates and organizes activities for Graduate Medical Education activities and committees.
Provides administrative support related to Accreditation Council for Graduate Medical Education (ACGME), National Resident Matching Program (NRMP), Illinois Department of Financial and Professional Regulation (IDFPR), Educational Commission for Foreign Medical Graduates (ECFMG), Graduate Medical Education Committee (GMEC), and other policy-making bodies.
Coordinates departmental and interdepartmental seminars and meetings, including new resident orientation sessions and coordinators' meetings.
Maintains, monitors and updates website and coordinate registration for seminars and meetings.
Organizes and oversees special event planning including catering, space and facilities requests, programming, advertisement, and coordination with other constituents. Special events include student orientations, workshops and seminars, employer/industry events, meetings, presentations, and guest visits.
Purchases office and event supplies; tracks expenses for reporting and budget development. Maintains office inventory.
