Position Summary

The main purpose of this position is to plan, implement and manage details of all administrative components within the department. This position must control the department's finances, human resource processing, the academic programs, College & University administrative activities as well as any other high end tasks assigned by the Department Head.

Duties & Responsibilities

  • Manage all fiscal and business operations: Prepare, process and analyze financial information for all grants, contracts, revenue generating and department accounts, including budgets, expenditures and other financial data by creating monthly reports, financial statements and schedules.
  • Manage all departmental Human Resource operations: Complete all Human Resource activities in the dept and keep up to date with all HR policies and procedures. Process; appointments in HRFE, HireTouch, Payroll, RNUA, Ethics Training, Positive Time Reporting, Academic and Sick Leave Reporting, Activity Reporting System, Effort Reporting System, Employee Performance Reviews, P&T, EEO, FMLA and all other HR & benefit programs.
  • Assist with Graduate and Undergraduate Academic Programs: Assist with academic programs by gathering all graduate application files (paper and online components), process admission/deny letters and update status in the system, update course timetable and catalog, room scheduling, maintain lab fees and course registration: Address any issues that arise regarding dept courses and labs.
  • Manage administrative matters: Maintain all administrative operations such as P-card/T-card, iBuy, property accounting and reporting, facilities management requests, space gatekeeper, unit security contact, building and room access, dept directory, etc. Hiring manager for the dept front office and interface directly with graduate students on HR, payroll, finances, and all other issues.
  • Operate as dept liaison for College, other University Depts and all outside entities: First contact in the dept for any questions or requests by the college, other University Depts, and outside entities, including all monthly, quarterly and fiscal reporting and audits.
