Under general direction of the assistant superintendent in charge of district educational services, provides administrative support by planning, organizing, facilitating, and participating in the operations of the educational services office. Positions in this classification are characterized by the high level of independence of judgment exercised as well as the need for initiative and flexibility in the performance of assignments. ESSENTIAL DUTIES AND RESPONSIBILITIES: Duties and responsibilities may include, but are not limited to, the following: Provide primary administrative support to the assistant superintendent in charge of district educational services; provide project support to other personnel working through the educational services office Assist in the submission, implementation and monitoring of categorical program applications and budgets; verify and process purchase orders; compile accurate and complete financial records as needed Serve as a resource for educational services and liaison between the assistant superintendent and other district personnel, administrators, other agencies, community representatives, parents and district-wide committee members and project leaders Collect and compile information and statistical data pertaining to related administrative or educational activities such as curriculum, in service, grants, negotiations and the budget Compose correspondence independently; develop forms, graphs, reports, brochures, handbooks and databases Provide information and answer questions where judgment, knowledge and interpretation of policies, procedures, and regulations are necessary Contact other agencies and persons regarding legal matters and procedures Assist in the preparation and development of agendas for the board of education and for district committee meetings and other meetings called by the assistant superintendent Schedule, facilitate, and attend meetings. Take notes and prepare minutes and materials for distribution Take and transcribe dictation Greet office visitors and take telephone calls in a friendly and professional manner; receive complaints, relay information, and make referrals as necessary Maintain control files of matters in progress and expedite their completion Organize and maintain administrative files of correspondence, records and other documents Perform a variety of support duties, including typing, filing, receiving, sorting and processing mail Work with all confidential employees; may supervise clerical assistants as assigned Perform other related duties as assigned QUALIFICATIONS /REQUIREMENTS: KNOWLEDGE OF: Modern office practices and procedures. Letter and reporting techniques. School office operations, district policies and operations. Computer applications, including word processing, databases, e-mail, Internet use, desktop publishing, etc. Budgets and bookkeeping procedures. ABILITY TO: Type/keyboard with speed and accuracy. Accurately record and describe events and actions of a meeting Perform responsible secretarial work with accuracy and speed Use correct English grammar, spelling and punctuation Compose correspondence, reports and memos independently Operate standard office equipment Learn codes, rules, contracts, principles and practices related to educational services responsibilities Operate computer terminals, including proficiency in a variety of word processing, database and graphics programs Understand and carry out oral and written instructions Make mathematical calculations quickly and accurately Work without close supervision Understand, interpret, apply, and explain rules and regulations, contracts, provisions, practices, policies and procedures related to the position Communicate effectively and tactfully in written and oral form Accurately compile, analyze and interpret information and statistics and to prepare related correspondence and reports Analyze problems accurately and adopt an effective course of action Establish and maintain effective professional relations with administrators, employees, students and the general public Pay attention to detail, monitor budgets and keep accurate records Obtain first aid certification as needed. EDUCATION/CERTIFICATION/CREDENTIALING: Desired: Five years of increasingly responsible secretarial experience, preferably in a school office. Education equivalent to two years of Business College. (Responsible secretarial experience may be substituted for the required education on a year-for-year basis to a maximum of two years.) Provide evidence of keyboarding speed and accuracy. WORK ENVIRONMENT/PHYSICAL DEMANDS: Sitting and viewing a computer monitor for extended periods of time. Reach, bend, and stoop to file Lift and move office supplies and equipment weighing up to 25 pounds Speak, read and understand sufficiently to successfully receive/provide information to/from students, supervisors, co-workers, the public, etc. Work under pressure to complete a variety of written reports within specific timelines Sufficient coordination and dexterity to operate school office equipment (includes computers, terminals, printers, copiers, etc.) as required by the position Perform all duties listed on the job description which are marked essential
