Under supervision and general direction of a high school site administrator, the Campus Support Secretary acts as a resource to administration in the enforcement of school regulations and performs a broad range of clerical, secretarial, public relations and communications functions. Positions in this class provide for the secretarial needs of the administrators and are characterized by the relatively small amount of supervision received, the frequent contact with students, campus security personnel and law enforcement agencies, parents, and staff. Productivity is required, despite frequent interruptions as well as the greater exercise of independent judgment and initiative. The Campus Support Secretary may also perform duties assigned lower level clerical staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Duties and responsibilities may include, but are not limited to, the following:

  • Provides information to and interprets rules for students, parents, staff and the public where judgment, knowledge and interpretation of procedures and regulations, particularly in the areas of discipline, safety, and emergency procedures, are necessary
  • Assists in the enforcement of school regulations relating to student safety and discipline
  • Contacts parents, students and staff regarding discipline matters; attempts to resolve problems which arise
  • Coordinates with campus security and law enforcement agencies on student behavior
  • Serves as communication link for campus with two-way radio; serves as member of the disaster aid team; assists in disseminating emergency services (accidents and police matters)
  • Monitors student behavior under contentious conditions; averts potentially dangerous situations
  • Coordinates supervision of assignments with administration and staff
  • Collects, enters, and retrieves data on a computerized student information system; generates reports, and maintains student information
  • Orders and issues I.D. cards, passes, leave request forms and parking stickers
  • Investigates and researches matters as necessary
  • Performs a variety of clerical duties, including typing, proof-reading, filing, tallying, checking and recording information
  • Composes routine letters and memos; assists in the preparation of student and staff handbooks; prepares work orders
  • Attends meetings; takes notes; prepares minutes
  • Maintains confidential and other files and records
  • Orders, receives, stores, and distributes forms and supplies
  • Schedules use of facilities, events, conferences, or other functions
  • Supervises clerical assistants, including student helpers
  • May assess and collect cash and maintain related records
  • Operates standard office equipment, including computers
  • Administers first aid when needed; may care for ill students
  • Performs other related duties as assigned

QUALIFICATIONS /REQUIREMENTS:
KNOWLEDGE OF:

  • Computer applications, including word processing, spreadsheets, databases, desktop publishing, etc.
  • Proper English grammar, spelling and punctuation
  • Office practices and procedures
  • Principles of office management
  • Telephone techniques

ABILITY TO:

  • Establish and maintain effective working relationships with teenagers, parents, administration, and other staff members
  • Speak and communicate clearly, effectively, and appropriately with teenage students, parents, and staff
  • React calmly and diplomatically in emergency and tense situations
  • Operate two-way radio
  • Organize a heavy workload and successfully complete a wide variety of duties while undergoing constant interruptions
  • Analyze problems accurately and adopt an effective course of action
  • Demonstrate proficiency in the operation of computers and software programs
  • Collect data and prepare reports
  • Communicate with others in a tactful, polite manner
  • Maintain confidentiality
  • Perform work independently without supervision
  • Learn school policies, procedures and rules
  • Understand and carry out oral and written instructions
  • Make simple arithmetical calculations quickly and accurately
  • Take and transcribe notes
  • Operate standard office equipment
  • Obtain first aid certification as needed

EDUCATION/CERTIFICATION/CREDENTIALING:

  • Desired: A combination equivalent to high school graduation, two years of responsible clerical experience, and some experience working with teenage students

WORK ENVIRONMENT/PHYSICAL DEMANDS:

  • Sitting and viewing a computer monitor for extended periods of time
  • Reach, bend, and stoop to file
  • Lift and move office supplies and equipment weighing up to 25 pounds
  • Speak, read and understand sufficiently to successfully receive/provide information to/from students, supervisors, co-workers, the public, etc.
  • Work under pressure to complete a variety of written reports within specific timelines
  • Sufficient coordination and dexterity to operate school office equipment (includes computers, terminals, printers, copiers, etc.) as required by the position
  • Perform all duties listed on the job description which are marked as essential

  • 5% Annual Salary Increase (Steps 1 – 9)
