We have an exciting opportunity for an Event Specialist at UL Research Institutes and UL Standards & Engagement. This is a hybrid opportunity based in our Evanston, IL OR Washington, DC office.
The Events Specialist plans, coordinates, and executes various events, such as conferences and workshops, to ensure seamless execution and exceptional experiences for attendees. The Events Specialist manages all aspects of event planning, from conception to post-event evaluation. The Events Specialist collaborates with cross-functional teams, vendors, and stakeholders to deliver successful events that align with the organization's goals and objectives

What You’ll Learn And Achieve
As the Events Specialist you will play a key role in the rapid growth of UL as you:
- Conceptualize, plan, support, and execute a wide range of events, including conferences, seminars, workshops, including the development of event concepts, themes, and objectives that align with the organization's branding and messaging.
- Create comprehensive event timelines, budgets, and project plans.
- Source and negotiate with vendors, suppliers, and venues to secure necessary resources, such as catering, audiovisual equipment, decorations, and transportation, coordinating all event logistics, including setup, signage, registration, seating arrangements, and guest accommodations.
- Collaborate with the communications team to create event promotion strategies, including social media campaigns, email campaigns, and other relevant channels.
- Manage event registration processes and databases, ensuring accurate attendee information and handling inquiries and facilitate check-in and registration processes on the day of the event.
- Oversee on-site event operations, ensuring all elements run smoothly and addressing any unforeseen issues, coordinating the work of event staff, volunteers, and vendors during the event.
- Assist in curating event agendas, sessions, and workshops to deliver engaging and valuable experiences for attendees.
- Coordinate with speakers and presenters to ensure their logistical needs are met.
- Collect and analyze feedback from attendees, staff, and stakeholders to assess the success of the event and identify areas for improvement, and prepare post-event reports that include attendance data, budget analysis, and insights for future events.
- Develop and manage event budgets, tracking expenses and ensuring adherence to financial guidelines.

- Positive and collaborative attitude and interpersonal skills to work effectively with leaders and colleagues across the organization.
- Proficiency in MS Office and CVENT
- Bachelor's degree in event management, marketing, communications, or a related field.
- Minimum 4years of experience in planning and executing events of varying scales.
- Experience planning events with non-profit or government attendees preferred
