Job Duties/Description:
- Schedule and confirm client meetings, ensuring the financial advisor's calendar is efficiently managed.
- Follow up with clients to confirm appointments, collect required documents, and address inquiries.
- Plan, organize, and manage financial seminars and webinars, handling event logistics such as venue booking, attendee registration, and post-event follow-up.
- Prepare and ensure the availability of materials and presentations for meetings and events.
- Assist in the preparation, processing, and organization of financial documents and client paperwork.
- Maintain compliance with all relevant regulatory and legal requirements.
- Organize and maintain client files, records, and office documents to ensure proper storage and retrieval.
- Oversee office supplies, equipment, and ensure the smooth operation of office maintenance.
- Act as the first point of contact for clients, providing professional and friendly customer service.
- Offer general administrative support to the financial advisor as needed.
Requirements:
- Previous experience in office management, administrative support, or financial services is preferred.
- Strong organizational skills with the ability to multitask, prioritize tasks, and manage time effectively.
- Excellent written and verbal communication skills.
- Proficient in CRM systems, Microsoft Office (Word, Excel, Outlook), and scheduling software.
- High attention to detail, with the ability to handle sensitive information discreetly.
- Strong customer service orientation, with a professional and approachable demeanor.
Additional Info:
- Pay range: $25-30/hr.
- Schedule: 8:30am-5:00pm, Monday - Friday
- Location: 100% onsite, Minnetonka
