SUMMARY
The VP, Implementation - Retail Alternative Funds is responsible for owning the new client implementation process, any conversions from their previous providers, and adding new products for existing clients. Additionally, this role will focus on providing a high quality and timely onboarding experience while overseeing the project plan and keeping clients, internal departments, and external service providers well informed and on track.
KEY ACCOUNTABILITIES
- Owns and manages the implementation and conversion process for new clients as well as existing clients that start new funds. The primary focus is on Retail Alts funds (Tender Offer, Interval, BDC etc.) but may include other investment products.
- Acts as the primary point of contact between the client and all departments of Ultimus throughout the implementation process. In addition, coordinates all external parties, previous providers, custodians, fund vendors etc.
- Proactively owns and drives the formal project plan. Establishes ongoing regular communication, status, and updates with the client and all relevant internal and external parties.
- Conducts and owns internal project update calls and Steering Committee calls.
- Ensures that all Ultimus departments are meeting project plan and client requirements.
- Coordinates the client initial introductions with all Ultimus departments and external vendors.
- Ongoing follow-ups with all Ultimus departments to ensure project tasks are conducted in a high quality and timely manner.
SPECIAL PROJECTS
Engages in responses related to RFI, RFP, Sales presentations, or other requests.Participates in new prospect meetings and presentations.PROBLEM RESOLUTION / ADMINISTRATIVE DUTIES
Resolves client issues or challenges by identifying the issues, understanding interests, listing viable solutions, and selecting the best option for resolution throughout the project.Maintains project status in Salesforce for reporting to management.Acts as a point of contact for all escalated issues that may arise during implementation and escalates significant issues to senior management per the Escalation Policy.Documents all activities accurately and consistently using standardized project plans, agendas, minutes, dashboards, or other agreed to reporting tools.WORKING RELATIONSHIPS
Mentors associates through instruction, coaching, providing real-time on-the-job experiences, modeling effective practices, and advising on methods used.Primary contact and liaison for existing fund family fund additions, fund changes, escalations for primary custodians.Regular (often daily) contact with clients regarding matters pertinent to implementations.Regular contact with internal teams; Fund Administration, Legal, Fund Accounting, Transfer Agent and Relationship Management teams regarding general communication, problem resolution, and process improvement for fund implementation and conversions. Ensures a smooth onboarding process.Regular contact with external parties (e.g. other Fund vendors and service providers) to ensure we are meeting client’s needs.May perform other duties as required and assigned.
EDUCATION AND EXPERIENCE
Bachelor's degree in business administration or related field.5-7 years of registered fund implementations experience.3-5 years of experience working directly with the Implementation of Registered Retail Alts funds (e.g., interval funds, tender offer funds, BDC etc.)7-10 years of experience in the financial services industry.3-5 years of management and leadership experience.KNOWLEDGE
