About the Learning Resource Center and the Office of Undergraduate Research & Studies

The Learning Resource Center (LRC) serves as the central undergraduate academic and undergraduate research support unit for the University of Massachusetts Amherst. At UMass Amherst's Learning Resource Center (LRC) and Office of Undergraduate Research and Studies (OURS), there are four different kinds of academic support and undergraduate research support available to students, including Supplemental Instruction (SI), Peer Tutoring (drop in and by appointment), Academic Success Coaching (ASC) and the Office of Undergraduate Research and Studies (OURS). The services are built-in campus resources, and they are completely free for UMass undergraduates. The LRC and OURS is proud to offer an array of resources to help support students in achieving their iteration of success at UMass Amherst.

Supplemental Instruction (SI) is the largest academic support program at the LRC. SI Leaders are exceptional students who have excelled in their respective courses, the students are hired, trained, supervised and mentored by the LRC to go back and provide academic support for the courses they excelled in. SI Leaders attend class and coordinate with faculty on content and hold twice a week review session for their peers, they also hold regular exam reviews, develop weekly worksheets and maintain their own LMS (Learning Management System) page. SI leaders also attend training sessions to develop facilitation and pedagogical skills. SI Leaders model successful student behavior and assist other students achieve academic success. The SI program serves 8,000 students annually in 50,000K student visits.

Job Summary

The Clerk IV (SI Program Administrator) manages key operational aspects of the Supplemental Instruction (SI) program, including recruitment, hiring, training, and supervising the SI peer team. The Program Administrator also contributes to program and departmental data collection, LMS management, scheduling, room booking, payroll, budget reporting, and the development of strategies to improve access to academic resources. Additionally, they provide exceptional customer service to students, faculty, and other stakeholders, ensuring clear communication and consistent messaging of SI program goals and services.

Essential Functions

  • Provides customer service to student staff, students, faculty and campus constituents in need of programmatic assistance or clarification.
  • Assists the Assistant Director of SI with training, scheduling, calendar upkeep, session and event planning, and on-going support and guidance of the SI team.
  • Serves as functional supervisor to SI leader and group tutoring student staff in matters including time and attendance, student payroll, and SI administrative logistics. Reviews performance and make recommendations to direct supervisors as needed. This includes coordinating and helping with the hiring, supervision, training, mentoring and hiring of LRC student staff, with particular focus on SI student staff and departmental assistants.
  • Provide direct supervision to a cohort of 10-15 Office Assistant (OA) and Departmental Assistant (DA) student [LT1] staff performing clerical or front desk support to the LRC office and ensures all inquiries, requests for services and concerns triaged by student employees are documented into appropriate tracking systems.
  • Coordinates payroll process for 175 to 200 undergraduate peer educators. Prepares hire and termination Personnel Action Forms and assists with the administration of the departmental student employee pay rate system encumbrances. Prepares and reviews weekly payroll for multiple student positions, such as SI's, Peer Mentors (PMs), and Departmental / Office Assistants (DAs / OSs). Serves as backup for weekly payroll for LRC / OURS professional and classified staff (15 ).
  • Serve as Liaison to University Human Resources and Student Employment / Financial Aid regarding staff and student payroll issues.
  • Prepares weekly Time and Labor reports. Review for accuracy. Obtain signature(s) and submit to HR. Maintain time and attendance files. Run queries as required and / or requested.
  • Serves as administrative support and manages outward facing SI leader LMS pages and SI accounts in unit database. Serve as liaison with IT and IDEAS to maintain and manage LRC LMS pages and processes.
  • Assist in formative assessment of the SI program by helping in the design, supervision, implementation, interpretation, and collection of SI data. Reviews data sets and assists the Assistant Director of SI with compiling reports and recommendations based on SI feedback and participation.
  • Provides information, guidance and assistance to graduate and undergraduate student staff, faculty, parents and on and off campus stakeholders on SI and LRC related matters.
  • Help with typical office duties (e.g., phone calls, data entry) as necessary and as related to the position, and support room booking and scheduling of LRC sessions and events.
  • Connect with campus partners, outside vendors and stakeholders to coordinate SI access and resources.
  • Attend workshops, classes, or training sessions required to fulfill job duties and to advance skills and knowledge in areas such as computers, software programs, interpersonal communications, and project management.
  • Performs duties as assigned or required to meet department, Provosts Office, and University goals and objectives.

  • Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • High School Degree plus a minimum of three (3) years of full-time work experience.
  • Ability to organize, screen, and refer multiple and simultaneous requests, phone calls, and walk-ins with a minimal amount of supervision.
  • Ability to quickly assess and evaluate needs and problems and take appropriate follow-up action. Understanding and appreciation of the need to exercise professional judgment under stressful circumstances.
  • Excellent interpersonal skills, ability to work with people from diverse backgrounds and ability to establish and maintain good working relationships among co-workers in a muti-layered environment.
  • Ability to utilize Microsoft Office programs and web-based data management systems.
  • Ability to work with and keep confidential records and filing systems.
  • Ability to work under pressure; good retention skills and ability to assimilate new information quickly.
  • Ability to initiate, organize, plan, prioritize and follow through on work assignments with minimal supervision.
  • Knowledge of English, spelling, punctuation, arithmetic and office practices and procedures.
  • Ability to understand and follow oral and written instructions.

  • A year of work experience in a fast paced, customer service-oriented environment.

    USA / MTA Non-Exempt Grade 13.
