The CEO is a visionary leader managing multiple initiatives. We are seeking a proactive, highly organized, and strategic Special Assistant to support executive operations.
Role Overview
As the Special Assistant to the CEO, you will act as a trusted right hand, ensuring seamless execution of priorities, managing key projects, and facilitating communication across the firm. This is a unique opportunity for someone with strong problem-solving skills, discretion, and the ability to operate in a fast-paced, entrepreneurial environment. The goal for you is to take operational tasks off the CEO’s plate and move them onto yours, freeing up the CEO to spend more time engaging with clients and building the firm.
Key Responsibilities
- Strategic Support: Assist the CEO in managing priorities, tracking key initiatives, and ensuring alignment with company objectives.
- Project Management: Oversee and execute special projects, ensuring timely completion and quality outcomes.
- Communication & Liaison: Serve as a bridge between the CEO and internal/external stakeholders, drafting high-level correspondence and reports.
- Meeting Preparation & Follow-ups: Organize and prepare materials for meetings, track action items, and ensure follow-through.
- Calendar & Travel Management: Coordinate the CEO’s schedule and handle travel logistics.
- Operational & Administrative Support: Provide high-level administrative support, including document preparation, expense reporting, and research.
- Confidentiality & Discretion: Handle sensitive information with the utmost professionalism and confidentiality.
Qualifications & Skills
- 2 years of work experience
- Strong organizational, problem-solving, and multitasking abilities.
- Excellent written and verbal communication skills.
- High level of discretion, professionalism, and emotional intelligence.
- Ability to work independently and anticipate needs in a fast-paced environment.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
- Consulting or startup experience is a plus.
Location
- This firm believes in-person interaction is essential to their success, and they work mostly in-person in their NYC office. The Special Assistant should be prepared to work in the office in NYC up to five days per week.
