What You’ll Be Doing:
Effectively maintain office administration including but not limited to managing calendars, organizing internal and external meetings, arranging travel, accepting/screening/routing calls, and email, and taking reporting messages.
Work closely with the Chief Content Officer to contribute to better organization and planning and improve relevant operations and procedures.
Act as a liaison between executive, their team and other key business partners keeping everyone connected and informed.
Create and manage and maintain internal database systems (SharePoint, Dropbox, etc.). Maintain hard and soft copy filing, including annual budget book, company calendar, department contact lists, and other items as directed.
Record and prepare expense reports for the executive. Review and approve expense reports for direct reports in accordance with company travel policy.
Assist with special events planning to optimize the experience via effective liaison with third parties including hospitality & transport services.
Plan, coordinate, and execute meeting setup and events. Including room set-ups, light catering, Audio/Visual setup, attendance tracking, materials distribution, and minutes.
Provide agendas, detailed data, information, and resources to the executive in preparation for meetings
Phone support for executives and backup support for other executives as needed. Includes answering, screening, taking messages/gathering information, and re-directing to the appropriate person or team.
Draft and edit communication in the voice of the executive and company. Resolve time-sensitive issues with a high degree of precision and professionalism.
Process invoices and order supplies.
Transport materials and equipment and lift, move, and carry objects up to 50 pounds on a limited basis
Handle multiple tasks, switching priorities and focus as needed.
Perform and prioritize special projects as directed; handle confidential and sensitive information. 'No task is too small' approach.
What You’ll Need to Bring to the Table:
5 or more years of experience as an executive assistant
Experience in Studio/Agency
Proven ability to effectively prioritize and work on multiple projects in a deadline driven environment
Act as the central hub for incoming information, ensuring smooth communication and efficient delegation across teams.
Serve as the vital link that connects teams, streamlines communication, and ensures nothing falls through the cracks.
Anticipate challenges, implement solutions, and provide top-tier administrative support to keep the organization running efficiently.
Excellent Microsoft Office skills, to include Outlook, Calendar, Power Point, Excel, and Word
Strong verbal and written communication skills
