Job Summary
We are seeking a highly organized and detail-oriented Project Manager to oversee and coordinate machine process and support our sales team, assist accounting with parts ordering, and follow-ups. The Project Manager's primary responsibility will be to complete the entire process from machine acquisition all the way to customer delivery set up. This role will be a compilation of sales support and purchasing. You will work closely with all departments maintaining meticulous records. The secondary responsibilities include processing parts orders (purchase orders to vendors) follow-ups with customers on their order status and updates, and assistance with invoicing in QuickBooks Online when needed.
Key Responsibilities:
· Receive Sales Order, then initiate and oversee the entire process from Acquisitions of machine, parts and tooling from OEM. Ensuring accuracy and adherence to specifications. Also keeping up to date on any pricing changes.
· Tailor order processing to each machine specification. Including setting international freight from OEM and domestic freight to customers.
· Collaborate closely with the accounting team for payment processing and purchase orders monitoring. Ensuring meticulous attention to detail in matching customer and company purchase orders. Monitor and align customer payment terms and conditions making sure payments are received or security agreements are in place. Review all information is accurate and complete before pre-sale checklist is completed, and machine is released.
· Oversee responsibilities related to machine consignment, ensuring seamless transactions and customer satisfaction.
· Work with Engineering or service departments to set up Turnkeys, and note installs and dates coordinating with service scheduler for completion. Making sure all parts and service requirements are ordered and scheduled. Address specific challenges and considerations related to turnkey operations if needed, ensuring smooth execution.
· Collaborate with the warehouse to ensure timely and accurate crate orders, addressing any discussions or coordination required.
· Process quotes efficiently, ensuring all necessary information is included.
· Weekly review of open sales orders and purchase orders related to machine sales to confirm accuracy.
· Continuous updates to customers and distributors including after sale/installation of machine follow ups.
· Manage UCC filings and warranty information for machines.
· Undertake various administrative duties related to sales as requested, ensuring prompt and efficient completion including but not limited to processing sales quotes, running, or creating sales/machine reports as needed.
· Issue P.O.s for all intercompany service work.
· Process the One and Done orders. (Customer supplies parts numbers)
· Answer incoming customer calls or emails promptly and professionally.
· Process customer orders accurately and efficiently.
· Maintain continuous follow-up with customers to ensure their engagement and satisfaction.
· Handle customer complaints with professionalism and tact, seeking effective solutions to their concerns.
· Empathize with customer needs and ensure their concerns are addressed promptly.
· Demonstrate strong customer retention skills by keeping in touch with customers even after orders or jobs are completed.
· Maintain weekly Open Sales Order Report.
· Provide pro-active follow-up to customers.
· Maintain daily inventory control.
Qualifications:
· Must have strong organizational skills and must be detailed oriented.
· Excellent communication and interpersonal skills to collaborate effectively with engineering teams, accounting, and other stakeholders.
· Must be able to work with cross functional teams.
· Must have strong QuickBooks Online knowledge.
· Experience in a Project Management role.
· Inventory Control experience is preferred.
· Proven experience in a similar role, especially within the manufacturing or engineering industry.
· Previous experience with CNC machines, turnkey operations, and international logistics is advantageous.
· Experience in the supply chain field, optimizing supply chain operations for efficiency and cost-effectiveness.
· Project management skills, including the ability to coordinate turnkey operations and manage various engineering services simultaneously.
· Needs to be a self-starter and critical thinker with problem Solving Abilities.
· Must have a Continuous Improvement Mindset.
· Microsoft Word and Excel experience is a must.
· Must have exceptional delegation skills.
· Must maintain a strong sense of urgency.
· Proven experience in a customer service role, with a track record of successful customer engagement and issue resolution.
· Exceptional communication skills, both written and verbal.
· Ability to maintain professionalism and composure while handling challenging customer situations.
· Strong follow-up skills to ensure customer satisfaction throughout the entire process.

Education and Experience:
· A bachelor’s degree in business administration, Supply Chain Management, Engineering, or a related field.
Physical Requirements:
· Lift: Must be able to lift and/or carry a minimum of 25 pounds.
· Push/Pull: Must be able to push/pull 25 pounds.
· Stand: Must be able to stand 25% of the day.
· Sitting: Must be able to sit 75% of the day.
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
Expected hours: No less than 40 per week
