Position Overview:

As a Clinic Receptionist, you will be an essential part of the healthcare team, ensuring smooth clinic operations by greeting visitors, handling incoming calls, scheduling appointments, verifying insurance information, and maintaining accurate records. Your role also involves performing administrative duties while maintaining a high level of patient confidentiality and providing exceptional customer service. Compensation is commensurate upon education, experience, certification, and internal equity. Hiring compensation range starts from $15.50/hour.

  • Compensation is commensurate upon education & experience - range is $15.50/hour or more (depending on education & experience). Benefits begin the first of the month following 60 days of employment from the new hire orientation date. This position is a non-exempt position.

  • Paid time off - front-loaded for the first year for qualifying part-time and full-time employees (amount based on status and FTE at the time of hire) - paid time off accrual begins following the first year of employment. Cash-out option also available for qualifying employees by meeting specified criteria.
  • Paid parental leave - qualifying employees are eligible to use two (2) weeks of paid parental leave anytime during the first six (6) months following the birth or adoption of a child - to be taken consecutively.

Key Responsibilities:

  • Greet patients and visitors with a warm and professional demeanor, ensuring a positive first impression.
  • Answer incoming calls, providing accurate information and directing inquiries to the appropriate department.
  • Schedule appointments, verify patient insurance information, and maintain an organized scheduling system.
  • Assist with administrative tasks, including data entry, filing, and maintaining patient records.
  • Ensure patient privacy and confidentiality by adhering to HIPAA regulations and other privacy standards.
  • Manage patient flow by coordinating with other clinic staff and facilitating smooth transitions for patient care.
  • Maintain an organized and clean front desk area while ensuring a welcoming environment for all patients and visitors.

Position Requirements:

Minimum Education:

  • High School Diploma or GED is preferred, but not required.

Experience:

  • 1 year of prior experience in a medical or clinic setting is preferred.

Required Registration/License/Certification:

  • Basic Life Support (BLS) certification issued by the American Heart Association is preferred, but not required.

Knowledge, Skills, and Abilities:

  • Proficiency in medical terminology and administrative skills.
  • Excellent communication and customer service skills.
  • Knowledge of privacy regulations, such as HIPAA.
  • Strong computer proficiency and organizational abilities.
  • Adaptability, attention to detail, and effective time management.

Physical Demands:

  • Sitting: The role primarily involves sitting for extended periods while performing administrative tasks at a computer workstation or front desk.
  • Standing: Occasional standing may be required when assisting patients at the reception area or providing directions.
  • Lifting: Minimal lifting may be necessary when handling files or office supplies.
  • Keyboard Use: Regular use of a computer keyboard for data entry and documentation.
  • Vision: Good visual acuity for reading patient information, documents, and computer screens.

Working Conditions:

  • Indoor Environment: The clinic receptionist works indoors in a climate-controlled office environment.
  • Interaction: Regular interaction with patients, families, healthcare professionals, and colleagues.
  • Noise Level: The work environment may include moderate levels of noise related to patient and staff interactions.
  • Schedule: Typically follows regular business hours, but may include occasional evenings, weekends, or holidays based on clinic needs.
  • Safety: Adherence to safety and infection control protocols is essential to maintain a safe work environment.
