Board and Campaign Professional
Are you a detail-oriented professional with exceptional organizational and communication skills? The UND Alumni Association & Foundation is looking for a Board and Campaign Professional to play a pivotal role in facilitating communication and coordination between the Board of Directors and key stakeholders.
POSITION SUMMARY
The Board and Campaign Professional facilitates communication, information sharing, and coordination between the organization’s Board of Directors and internal / external stakeholders. This position ensures that the Board operates efficiently and that its decisions and strategies are effectively communicated and implemented. This position, with the guidance of Management, will plan and execute all aspects of the Board of Director's and Campaign Committee meetings including any reports, correspondence, and all other Board or Campaign Committee responsibilities.
The Board and Campaign Professional also serves as an Executive Assistant for the Vice President of Finance and Operations, as well as the Vice President of Marketing and Communications. Including scheduling meetings, travel arrangements, and other various administrative duties. This position will also be a designated backup support person for phone coverage and greeting / helping visitors at the UND Alumni Association and Foundation Welcome Desk. This position is responsible for ensuring the highest quality of customer service. Must be able to produce high quality communication on behalf of others and themselves.
The Board and Campaign Professional requires strong communication skills; highly professional manner; experience interacting with donors and friends of the University, senior level Management, board members, and campus partners. This position also requires follow up skills to ensure successful and timely completion of projects, and the ability to multitask. This position must possess the ability to handle confidential information with discretion, anticipate needs, and work proactively using programs and tools designated by the organization. (Wrike, Salesforce, Office 365, etc.)
ESSENTIAL FUNCTIONS
Board and Campaign Professional
- Prioritizes and schedules meetings, committee meetings, and communication for the Board of Directors and Campaign Committee with guidance from Management.
- Serve as the point person for board communication to Management and the Board of Directors and for the Campaign Committee.
- Provide administrative support to board members, including travel arrangements, scheduling, and communication.
- Assist new board members with onboarding, including providing necessary orientation materials and information.
- Ensure the Board policies, minutes and procedures are updated, completed in an accurate and timely manner, approved, and followed.
- Archive historical documents, policies, and records related to the Board’s activities.
- Ensure compliance with legal and regulatory requirements related to Board documentation.
- Communicate to Management monthly any outstanding, in process, or completed Board or Campaign Committee items.
- Responsible for Convene and other tools used for Board and Campaign Committee to ensure they are fulfilling the needs of the Board, Campaign Committee, and Management.
- Prepare professional materials for meetings such as documents, PowerPoint presentations, and online meeting platforms as appropriate and provides the appropriate and accurate documentation for Board and Campaign members.
- Create Board processes and timelines.
Executive Assistant
EDUCATION AND EXPERIENCE REQUIREMENTS
Education : Bachelor’s degree is preferred
Experience : 5 years of administrative assistance experience.
Sales experience preferred
PHYSICAL & COGNITIVE REQUIREMENTS
Ability to operate computers, telephones, and other standard office equipment. Ability to focus and complete work in a timely manner. Ability to travel independently via car and air. Ability to occasionally bend, stoop, squat, and lift or move objects up to 10 pounds.
