Overview
The Operations Support Administrator is tasked with assisting the Operations Support Team. This will include evaluating and coordinating office operations, ensuring structural effectiveness and efficiency and overseeing administrative activities. This role will also have elements of Union affiliations, contract management, specifically with subcontractor contracts, safety compliance, and insurance.

Responsibilities
- Supports Operations Specialist as needed with developing presentations, reporting, and subcontract agreement management.
- Assist in the coordination of office operations and procedures.
- Assist with the coordination of and provide customers with a point of contact regarding Divisions' prequalification packages, information requests, and proposals.
- Present Operations Specialist with special permit requests, certificates of insurance, and bonds for Division projects.
- Present for approval client invoices, ensuring smooth communication between specific Division projects and the Accounting Department.
- Provide an additional point of contact for employee inquiries and advance to Human Resources for resolution as needed.
- Assist in the oversight of lease agreements, including the maintenance and alteration of office areas and equipment, layout, arrangement, and housekeeping of office facilities.
- Supports in the negotiation and purchase of office supplies and furniture, office equipment, etc., for the staff, ensuring proper purchasing policies and budgetary restrictions are adhered to.
- Supporting the Operations Specialist with updates on facility day-to-day operations.
- Ensure accurate and efficient submission of subcontract agreements and work authorizations.
- Ensure compliance of all subcontractors requested by the project team, in conjunction with the Operations Specialist.
- Assist with the review of subcontractor Certificates of Insurance (COIs) for expired coverages and job-specific verbiage.
- Request new unexpired insurance documents from subcontractors and review them for accuracy.
- Engage with Director of Operations on Union related tasks and procedures.
- Other related duties and projects as assigned.
Qualifications
- Bachelor’s degree in business, Accounting, or Finance.
- Proven office management, administrative, or assistant experience.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Excellent time management skills and ability to multi-task and prioritize work.
- Demonstrated ability to work effectively in a team environment.
- Ability and willingness to travel as needed.

Pay- $ 24.00 - $ 35.00 /Hourly *Depending on Experience
