Description
The Shared Services Specialist I plays a vital role in supporting the daily operations of UNICO by managing a variety of administrative and facility-related tasks. Responsibilities include answering and directing incoming phone calls, handling incoming and outgoing mail, maintaining cleanliness and organization in shared kitchen spaces, and supporting special projects across departments.
Requirements
- Answer telephones and connect callers to the appropriate person.
- Welcome and direct visitors and deliveries.
- Organize and assign incoming reports, documents, mail, and emails to the appropriate person.
- Respond in an appropriate, timely manner to all internal and external requests for information.
- Acquire, organize and modify documents from insurance carrier websites using Adobe Pro software.
- Send Insurance documents to brokers and insureds.
- Track inventory of office products and order supplies.
- Handle clerical tasks such as photocopying, filing, mailing and scanning.
- Support use of conference room technology, event calendars, copiers and phone system.
- Proficiently use Microsoft Office software including Word and Excel.
- Continually evaluate current procedures to ensure that the most effective means are being used to meet assigned goals.
Professional Requirements
- Education: High school diploma or GED; college degree preferred.
- Experience: Clerical and computer knowledge, experience in customer service
- License: Not required

- Proven track record of successful customer service in a fast-paced environment, emphasizing attention to detail.
- Ability to follow up on tasks from start to finish.
- Demonstrates the ability to manage and prioritize multiple tasks simultaneously while maintaining accuracy.
- Demonstrate computer proficiency in Microsoft Office.
Physical Demands
- This role’s physical exertion is sedentary and takes place in an office environment.
- Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
- Substantial movements and repetitive motion of the wrists, hands, and/or fingers.
- Individual required to have close visual acuity to perform activities such as preparing and analyzing data and figures; transcribing, viewing a computer, and extensive reading.
