Position Overview
The Contract Administrator is responsible for preparing, reviewing, recording, and organizing contract documentation. Strong organizational skills, excellent grammar, and attention to detail are required.
Key Responsibilities
Duties of this role include but are not limited to the following:
- Facilitate the drafting and execution of third-party Purchase Orders, Subcontracts and other legal agreements.
- Manage Third Party Agreements utilizing the Contract Management Software (LinkSquares) from first receipt of the agreement to full execution.
- Review contract documents for risk to the business and move to negotiate unfavorable terms and conditions.
- Manage approval workflows, working with the business ensuring all required parties have reviewed and approved the agreement prior to execution.
- Review agreements for project specific requirements per contract and accurately update the agreement details in the Contract Management system.
- Document accounting items listed in the contract and accurately record these items in the Contract Management System.
- Maintain records of contracts and other legal documents including insurance certificates.
- Coordinate with accounting to ensure contracts are properly set-up for billing.
- Assist in the request of contract bonds.
- Assist in the ordering of Prelien Notices and Notice to Owner documents.
- Monitor the Contract email box as well as the Insurance email box when needed.
- Act as a point of contact for customers and internal employees.
- Other duties may be assigned given the need of the department.
- 3 years of relevant experience
- Knowledge of legal requirements involved with contract laws
- Advanced computer skills in MS Office and other technology applications. (Contract Management Software, SharePoint, etc.)
- Effective communication, negotiation, and interpersonal skills
- Exceptional attention to detail, and talent for accuracy and precision
- Superior reading, writing and language skills
- Ability to manage an organize a heavy contract workload
- Ability to adapt to changing procedures and deadlines
- Experience in the construction industry is preferred
- This position requires an onsite presence at our Santa Ana, CA office.

- Starting rate of pay may vary based on factors including, but not limited to, location, education, training, and/or experience.
