Job Summary
The documentation specialist performs tasks such as researching documentation histories, editing and proofreading documents, reviewing technical specifications and mechanical drawings, and compiling this information in a clear and organized manner. The Document Specialist will ensure that all documents are accurately maintained, compliant with ISO 9001 standards, and readily accessible for administrative and quality management purposes.
Duties
- Acts as the gatekeeper for all information that flows into and out of the Documentation department.
- Keeps abreast of documentation trends and technologies in order to ensure work is being done with the best tools and delivered to the customer using the best methodologies.
- Manages relationships with translation vendors and coordinates translation projects.
- Manages an archive containing the documentation histories for every shipped product.
- Ensures that the provided documentation meets all industry standards, safety, and legal requirements.
- Writes product user manual components and accompanying documents.
- Edits and updates all documentation.
- Compiles BOM information and engineering drawings to assemble machine specific Parts Manuals.
- Assembles manual components as needed for each machine.
- Prepares manual sets, machine prints, and ancillary materials for shipment.
- Locates relevant information in various IT systems (databases, ERP systems, shared network folders).
- Manages documentation projects.
- Updates Documentation Database with relevant project and assignment information.
- Works with engineers and technical personnel to gather information.
- Excellent writing, editing, and proofreading skills, including experience working with style standards such as Chicago, AP, Gregg, or corporate style manuals.
- Advanced experience with a wide variety of technical communication tools including Adobe FrameMaker, Interleaf, Microsoft Work, Adobe Acrobat and Adobe Illustrator.
- Experience with general office productivity software such as Windows, Excel, Access, PowerPoint, and Outlook.
- Some experience using electronic content management systems (databases, ERP systems, or similar) in order to locate information and manage data.
- Some experience with electronic graphics and illustrations, so as to be able to manage or edit graphics, if needed.
- All other duties as assigned.
Qualifications
- Bachelor’s Degree in Communications or related field.
- At lease 3 years of experience working in a documentation related job field.
- Familiarity with document management systems and quality management principles (ISO 9001).
- Strong organizational skills with a keen attention to detail.
- Proficient in data entry and administrative tasks.
- Excellent technical writing skills with the ability to create clear and concise documentation.
- Ability to work independently as well as collaboratively within a team environment.
- Strong communication skills, both written and verbal, are essential for effective collaboration across departments.

Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
