Position: SIS Coordinator/Data Manager

FLSA Status:  Exempt

Reports to: Chief Operating Officer

Purpose: To monitor and maintain official data for students, educators, parents, and administrators in SIS, a cloud-based student information system provided by North Carolina Department of Public Instruction.   

Major Duties and Responsibilities:

  1. Has depth of knowledge and skills of SIS and PowerSchool software.

  2. Responsible for maintaining the integrity of SIS data and the accuracy, reliability, retrieval, reporting and security of all student information.

  3. Supports all SIS tasks and works closely with administration, faculty and staff to facilitate an understanding of requirements and deadlines.  

  4. Provide general SIS training and support.    

  5. Assist the Principals with the yearly scheduling process through SIS, a web-based automated master schedule builder.

  6. Provide support for UA Parents with SIS Parent Portal 

  7. Support the integration of SIS programs with other software applications, such as Blackboard, Canvas, and MyPaymentsPlus along with the IT Department.

  8. Troubleshoot operational and software problems, specifically with SIS to determine cause of error or stoppage, apply corrective techniques or obtain support from software manufacturers 

  9. Support any necessary enrollment lotteries and registration processes.  

  10. Maintain and generate grades for quarterly report cards, high school transcripts, honor rolls, GPA’s and student rank reports.

  11. Understand General Statutes regarding school enrollment.

  12. Process final student records (report cards, transcripts, GPA’s, rank, attendance, cumulative folder labels) at the end of the school year in preparation for YET (Year End Transition) in SIS.

  13. Assist teachers and/or parents when access is required to student records according to FERPA regulations. 

  14. Submit State and Federal required reports to the State Department of Public Instruction, including the following:

    • PMR (Principal's Monthly Report) – 1 per school month = 9 per year

    • RPG (Retention/Promotion/Graduation) – Reported in October

    • Dropout Data Collection Report – Reported in October

    • Summer School Attendance - Reported in October

    • FERPA - Reported in December

    • Military-Connected Families - Reported in December

    • Homeless Data Collection - Reported in May

    • Discipline Data Collection - Reported in June

    • Final Graduation Data Verification - Reported in June

    • CRDC (Civil Rights Data Collection) - Reported Every Two Years

15. Attend professional development experiences and HomeBase meetings to maintain and increase knowledge of the database management and student information system.

16.  Participate in the lottery process.

Additional Expectations:

  1. Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.

  2. Excellent communications skills 

  3. Excellent public relations skills to develop and maintain positive relationships with administrators, faculty, staff, and parents. 

  4. Expert level Microsoft Office skills, especially with Excel. 

  5. Must be accurate, organized and detail oriented. 

  6. Demonstrated ability to work both independently and as part of a team. 

  7. Ability to read, interpret, apply and explain State or Federal regulations and requirements affecting educational assessment activities or pupil accounting and make judgements or decisions on accounts as needed.  

  8. Demonstrated ability to work with confidential data. 

  9. Willingness to pursue professional growth, demonstrating the principles of continuous learning. 

  10. Ability to resolve problem situations with sound judgment.

  11. Any other assigned duties.

Desired Training and Hand-On experience

 
  1. High school graduation and three years of work experience at least one of which is data entry or a year of work directly related to a computer system which requires knowledge of editing and completing source data; or an equivalent combination of education and experience.

  2. Experience in the administration and support of SIS or other student management systems (experience in the use and support of other database applications preferred). 

  3. Experience with other K-12 assessment data warehousing systems. 

  4. Ability to navigate and utilize computer tools such as Google Docs, Google Drive and Google Sheets.

  5. Knowledge of Microsoft Outlook, Excel, Word and PowerPoint.

Minimum qualifications or standards required to perform essential job functions:

Physical Requirements: Position requires exerting up to 10 pounds of force occasionally and/or up to 20 pounds of force as frequently as needed to move objects.

Interpersonal Communication: Requires the ability to speak and/or signal people to convey or exchange information. This includes giving instructions, assignments or directions to parents, students, and staff.

Intelligence: Requires the ability to apply common sense understanding to carry out instructions furnished in written, oral or diagrammatic form.

Verbal Aptitude: Requires the ability to record and deliver information, to explain procedures, to follow written and oral instructions. You must be able to communicate effectively and efficiently in Standard English.

Numerical Aptitude: Requires the ability to add, subtract, multiply and divide.

Motor Coordination: Requires the ability to coordinate eyes and hands to use the keyboard.

Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. You must be adaptable to performing under minimal to moderate levels of stress.

Physical Communication: Requires the ability to talk, write, and hear.

Assessment: Performance of this job will be assessed annually in accordance with provisions of the Board’s policy on assessment of administrative personnel.

Terms of Employment: Salary and work year as established by the Board of Directors.
